Overview
We are recruiting on behalf of a law firm for the position of Personal Assistant Legal. This is a key administrative and support role for a highly organized proactive and dependable professional who will work directly with the Managing Partner.
The Personal Assistant will ensure the smooth running of the Partners office by managing schedules coordinating meetings preparing documentation and ensuring timely follow-up on all assigned tasks. The role requires excellent organizational skills strong communication abilities and a high level of discretion.
The successful candidate will also support basic legal research assist with document preparation coordinate departmental activities and ensure that the Managing Partners priorities are executed efficiently. This role offers valuable exposure to legal operations senior-level decision-making and professional service standards.
Key Responsibilities
Diary & Administrative Management
Manage the Managing Partners diary including scheduling meeting coordination and appointment confirmations.
Prepare meeting agendas take minutes and track action items to ensure timely follow-up.
Draft issue and organize task or instruction memos ensuring feedback is collected and actions are completed.
Organize files maintain records and ensure all documentation is up to date and easily accessible.
Strategic & Departmental Support
Assist in monitoring and reporting on the firms strategic plan and related milestone achievements.
Serve as secretary to internal departments ensuring proper documentation record-keeping and coordination.
Support in monitoring recording and reviewing resolutions ensuring compliance and follow-through across teams.
Legal Research & Practice Support
Conduct basic legal research to support the Managing Partner and legal team.
Prepare briefs summaries and reference notes to assist in advisory work and client matters.
Assist with document preparation filing and organization of legal materials.
Coordination & Communication
Manage internal and external communication on behalf of the Managing Partner.
Liaise with clients advocates court officials and departmental teams as required.
Ensure timely circulation of information reminders and updates to relevant parties.
Other Duties
Requirements
Certification/Diploma in Law or other related field.
2-3 years of experience as a personal assistant in a legal setup.
Strong organizational and administrative skills.
Excellent communication drafting and report-writing abilities.
Proficiency in MS Office Suite and general IT tools.
Ability to manage multiple tasks with accuracy and professionalism.
High level of confidentiality integrity and discretion.
Ability to work independently and collaboratively.
