A Brief OverviewThe Executive Assistant provides high-level administrative support to executive and leadership teams. This role requires discretion professionalism and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a liaison between leadership and internal/external stakeholders ensuring efficient operations and communication.
What you will do
- Administrative Support: Prepare edit and format documents including correspondence reports and meeting minutes. Maintain organized filing systems and ensure timely document distribution. Manage confidential and time-sensitive information with discretion. Conduct research and compile background material for meetings.
- Scheduling & Coordination: Manage calendars schedule meetings and coordinate appointments. Arrange travel logistics including transportation lodging and car rentals. Organize board and committee meetings including room reservations and materials preparation. Provide administrative support for Boards and executive committees as requested.
- Communication & Liaison: Answer and direct phone calls; greet and assist visitors. Serve as a point of contact for internal and external stakeholders. Anticipate executive needs and proactively manage priorities and follow-ups. Represent executive values and preferences in communications and decision-making.
- Operational & Project Support: Assist with invoice coding and basic accounting functions. Support quality assurance compliance and accreditation documentation. Attend meetings and accurately record minutes.
- Flexible Support Based on Leadership and Department: Perform a variety of tasks and responsibilities as requested by executives tailored to specific leadership styles and departmental goals. Adapt to changing priorities and provide support across different organizational functions. Assist with special initiatives strategic planning and cross-functional projects. Provide backup support to other administrative staff as needed. Engage in continuous learning to stay aligned with evolving organizational needs.
Essential QualificationsThe individual must be able to work the hours specified. Required Education License/Certification or Work Experience:
- Associates or equivalent combination of education and experience.
- 4-6 years of relevant administrative or executive support experience.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office. (Word Excel Outlook)
- Ability to manage multiple priorities and shift directions quickly.
- High level of professionalism and confidentiality.
- Strong organizational and problem-solving abilities.
Preferred Education License/Certification or Work Experience:
- Experience in healthcare environment.
