The Alumni Relations Coordinator plays a pivotal role in fostering meaningful relationships with alumni supporting the growth of the Ambassador Program and collaborating with various teams to enhance alumni engagement. Key responsibilities include recruiting and onboarding alumni ambassadors coordinating alumni involvement in events and managing ongoing alumni communications and projects. This role contributes significantly to the institutions outreach efforts and strengthens the alumni network.
Key Mission:
The key mission of the Alumni Relations Coordinator is to enhance alumni engagement drive the success of the Ambassador Program and build lasting connections that support the organizations goals.
Goals:
- Assist the Alumni Relations Manager in overseeing the Ambassador Program.
- Support alumni engagement initiatives and events.
- Manage data materials and communications related to alumni and ambassadors.
Proposed Responsibilities:
Assist the Alumni Relations team including but not limited to:
Ambassador Program Coordination:
Recruit and onboard Ambassadors:
- Invite eligible candidates to apply.
- Review applications conduct interviews and select candidates.
- Set up accepted Ambassadors with necessary tools and resources.
Organize onboarding training and professional development workshops.
Maintain bi-weekly or monthly check-ins with Ambassadors ensuring regular updates and guidance. This may require you to work 1-2 days per week until 7pm CET for Ambassadors on the West Coast of the United States.
Manage logistics for merchandise including creating designs handling shipments and reducing costs.
Update and create new marketing materials for Ambassadors and alumni to use
Alumni Engagement:
Keep the alumni database up to date
Assist B2B with alumni success stories and data for information sessions and proposals
Manage alumni presence at events including fairs and information sessions:
Confirm alumni attendance and provide preparation materials.
- Coordinate event materials (e.g. banners tablecloths).
Assist in managing the Alumni Facebook group Ambassador Discord channel and other online platforms.
Project Support:
- Increase accessibility for low income students by researching scholarships available to students of any citizenship or background.
- Support B2B team with outreach promotion and business development in Mexico and/or other parts of LATAM
- Support the Enrollment Team with interviews if needed during peak seasons.
IDEAL QUALITIES AND EXPERIENCE:
The ideal candidate will be an excellent communicator very detail oriented highly professional well organized a passionate team player good under pressure and fast on their feet.
- 2-3 years work experience in an International environment. Prior experience in Sales and the Higher Education sector is highly desirable.
- Bachelors degree or equivalent experience in Business Communications Marketing Education or related fields.
- Entrepreneurial spirit and intellectual curiosity
- Comfortable speaking to people on the phone and in-person
- Positive Attitude You think nothing is impossible
