Position Summary
The On-Site Services Specialist is responsible for document preparation high-volume scanning mail handling copying and general office support activities within a Managed Services environment. This role supports daily operational tasks such as preparing documents for scanning running high-volume equipment distributing mail and providing excellent customer service. The position may expand to include basic equipment maintenance shipping/receiving and file services.
Key Responsibilities
Document Preparation
-
Open and process incoming mail promptly and accurately.
-
Remove all contents from envelopes while preventing document damage.
-
Remove staples paper clips binder clips and other fasteners.
-
Separate pages and ensure documents are not stuck together.
-
Sort documents by department or processing category.
-
Identify and properly separate multi-page documents.
-
Apply correct department-specific barcode or cover sheets.
-
Ensure cover sheets are positioned for optimal scanner recognition.
-
Conduct quality checks for tears folds sticky notes or defects.
-
Flatten or repair pages as needed.
-
Prepare document batches for scanning and align pages to prevent scanner jams.
Equipment Operation & Office Support
-
Operate high-volume copy machines scanners and document handling equipment.
-
Operate image-handling and scanning software.
-
Use MS Office and email systems for communication and reporting.
-
Perform binding and finishing tasks as required.
-
Conduct daily convenience copier checks; clear paper jams; report service needs.
-
Maintain records meter logs and supply inventories.
-
Sort distribute and handle incoming/outgoing mail and faxes.
-
Apply postage using postage meters.
-
Ship and receive packages; handle copy paper boxes and UPS deliveries.
-
Perform filing archiving and document purging tasks.
-
Deliver completed print/scan jobs to designated areas or buildings.
-
Respond to customer inquiries and coordinate service calls.
-
Use additional office equipment such as shrink-wrap machines paper cutters bindery tools joggers hole drills tape machines stackers electric staplers and scales.

Maintain cleanliness and supply levels in copier areas.
-
Perform other duties as assigned by site leadership.
Required Qualifications

High school diploma GED or equivalent work experience.
-
Basic computer proficiency including MS Office Suite.
-
Technical aptitude with printers copiers scanners and postage machines.
-
Strong organization attention to detail and customer service skills.
-
Ability to lift up to 50-55 lbs and perform physical tasks such as standing walking bending and moving equipment.

May require a valid drivers license per company policy (site dependent).
