Description

The Administrative Assistant supports the janitorial and facilities management team within the Manufacturing/Semiconductor industry. This role ensures smooth administrative operations assists with scheduling and compliance and provides excellent communication between staff vendors and ABM leaders and Client leadership.

Key Responsibilities

Administrative Support:

  • Maintain records of janitorial staff schedules attendance and work orders.
  • Prepare reports memos and correspondence related to cleaning and maintenance activities.
  • Manage inventory of cleaning supplies and process purchase orders.

Scheduling & Coordination:

  • Assist in scheduling janitorial staff for daily and special events.
  • Coordinate with vendors for equipment servicing and supply deliveries.

Compliance & Documentation:

  • Ensure adherence to health safety and sanitation standards.
  • Maintain documentation for inspections and compliance audits.

Communication:

  • Serve as a point of contact between janitorial staff client administration and external contractors.
  • Respond to inquiries and resolve minor issues promptly.

Financial Support:

  • Process invoices track expenses and assist with budget monitoring for janitorial services.

Qualifications

  • Must have a Valid Start Drivers License
  • High school diploma or equivalent (Associate degree preferred).
  • 12 years of administrative experience; facilities or janitorial experience a plus.
  • Proficiency in Microsoft Office Suite and scheduling software.
  • Strong organizational and communication skills.
  • Ability to maintain confidentiality and work in a fast-paced environment.

Desired Skills

  • Knowledge of cleaning standards and safety regulations.
  • Customer service and problem-solving abilities.
  • Familiarity with inventory management systems.
