Essential Duties and Responsibilities:

  • Business and Administrative Support for commercial team

  • Provide administrative and business support to the Country Head and sales/marketing team.
  • Handle vendor setup purchase requisition payment processing contract management and documentation flow.
  • Coordinate domestic and regional travel arrangements internal/external meetings
  • Prepare and maintain correspondence reports and presentations as required.
  • Support the coordination of key internal and external events such as sales meetings engagement programs/external events
  • Manage mail/document handling courier dispatch and office-related payments.
  • Office and Facilities Management

  • Oversee day-to-day office operations including facilities maintenance office supplies/building access pantry management and vendor management.
  • Manage relationships with landlords and vendors ensuring compliance with company procurement and contracting standards. Oversee lease management (office premises)
  • Lead local Business Continuity Plan (BCP) coordination.
  • Maintain and update office administrative policies and procedures providing briefing to staff when necessary.
  • Lead or support arrangements/communication for company-wide events such as annual kick-off meetings office renovations CSR initiatives and employee activities.
  • Support Country Leadership Team

  • Support team administrative operation (when required)
  • Ensure alignment of administrative operations with company culture and Ethics & Compliance standards

Qualifications / Competencies:

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. List knowledge skills and/or abilities required. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

  • Minimum 5 years of administrative or business support experience
  • Strong proficiency in Microsoft Office (Word Excel PowerPoint Outlook) Teams and SharePoint.
  • Excellent command of English (spoken and written).
  • Strong interpersonal communication and stakeholder management skills across functions and levels.
  • Detail-oriented highly organized and able to manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to handle confidential information with professionalism.
  • Project management and event coordination experience preferred.
  • High learning agility accountability and growth mindset.

Education and/or Experience:

Include the education and experience that is necessary to perform the job satisfactorily.

  • Bachelors degree (or equivalent) required major in administration management or language preferred.
  • Prior experience supporting senior leadership in a multinational environment.
  • Experience in managing office IT equipment/ vendor management office operations and compliance coordination is an advantage.
