Location: WFH (Remote)

Working Hours: M-F 8am-4pm Pacific Time
Salary: $1050-$1300/month

Im looking for a seasoned Executive Assistant who thrives in complexity handles details with precision and keeps multiple businesses moving seamlessly. This role covers everything from high-level reporting to the small details that keep life organized. If youre well-spoken tech-savvy and thrive on varietyyoull fit right in.

What Youll Do

Business Support (Multiple Companies):

  • Calendar management and time-blocking across businesses.
  • Create maintain and track Excel budgets trackers and reports.
  • Compile and distribute reports for stakeholders.
  • Manage LinkedIn Craigslist applicants in Airtable.
  • Maintain organization across multiple Google Drives.
  • Manage Yelp & Google Business accounts.
  • Handle payroll data entry and report management.
  • Submit bank statements and documentation to CPAs.
  • Keep inboxes streamlined and drive toward Inbox Zero.

Operations & Communication:

  • Draft and circulate team-wide announcements (e.g. Employee of the Month).
  • Track and circulate meeting transcripts and action items.
  • Oversee Craigslist listings and property maintenance receipts.
  • Manage service provider communications and vendor receipts.

Marketing / External Presence:

  • Draft social posts award submissions and light marketing collateral (for A1 & Society).
  • Maintain press mentions reviews and testimonials in an organized system.
  • Light website updates (WordPress Squarespace or coordinating with a vendor).

Recruiting & HR Lite:

  • Screen job applicants before managers see them.
  • Coordinate interviews across companies.
  • Own onboarding checklist admin (contracts employee docs payroll input).
  • Track PTO and time-off requests in a clean system.

Systems & Automation:

  • Own Airtable / / CRM hygieneensuring clean pipelines and data accuracy.
  • Document SOPs so processes dont live only in my head.

Personal / Family Admin:

  • Coordinate kids schedules doctor appointments preschool admissions travel prep.
  • Manage household-level vendors (landscaping cleaners handyman etc.).
  • Oversee relationship management: gifts reminders thank-you notes for key people.

Strategic Leverage:

  • Own weekly dashboards: a one-pager with KPIs cash updates project status and whats on fire.
  • Act as my proxy in communication threadsreplying where appropriate.
  • Support content & thought leadership: polishing drafts formatting posts managing cadence.

What You Bring

  • Fluent professional Englishwritten and spoken.
  • Proven experience as an EA/Chief of Staff/Operations Manager.
  • Tech-forward and curiousAI tools dont scare you they excite you.
  • Financial and reporting literacy (comfortable in spreadsheets).
  • Exceptional organizational skillsjuggling 10 priorities without dropping one.
  • Discretion and professionalismtrusted with sensitive info.
