About the Role:
This is a fantastic opportunity for an experienced individual with excellent all-round skills to take a step up into a management position. The Office & Facilities Manager is responsible for the full spectrum of general office operations and administrative functions and will be based in London. This role will work as part of the wider EMEA operations and administration teams at Compass Lexecon and with the teams within our parent company FTI Consulting.

Key Responsibilities:

Office Management:

    • Responsible for the day-to-day line management of the administrative team in London. Planning sufficient cover for the office and taking responsibility for providing feedback and development opportunities for team members.
    • Main point of escalation for all queries regarding office operations and maintenance/ facilities queries.
    • Manage the office vendor relationships including negotiating contract renewals arranging payment of invoices and liaise with finance as required.
    • Handle various office expenses whilst managing within budget guidelines.
    • Responsible for coordinating office moves renovation of current premises space utilisation and employee reallocation as may be required.
    • Support the Regional Operations Manager on ad hoc projects and administrative matters.
    • Liaise with the other support staff (Marketing IT Finance and People Teams etc) and organise support to those teams when needed.
    • Responsible for providing new joiners with relevant office information including fire safety.
    • Sharing best practice across EMEA with other Office Managers

Facilities:

    • Organising and overseeing building maintenance and support services such as cleaning catering and security including ensuring all electrical equipment is regularly tested.
    • Assist in the continual work required to obtain/ retain ISO14001 and conduct internal audits for compliance ensuring acute attention to detail.
    • Maintaining the security pass system ensuring that all new staff understand the physical security policies in place. Responsible for assigning and deactivating passes and maintaining an accurate record of all allocated passes.
    • Reporting issues to external vendors and managing through to resolution.
    • Managing the contracts for out of hours taxi and dinner services.
    • Ensuring the Office is supplied with all the necessary stationery and kitchen equipment.
    • Ensuring daily checklist survey of the area including kitchens and toilets are carried out.
    • Manage the allocation of and maintenance of lockers for joiners/ leavers.
    • Provide regular status updates to the Regional Operations Manager and the London Office Heads.
    • Responsible for office compliance with fire and health and safety procedures and other relevant regulations. Liaise with FTI colleagues and external vendors as required.
    • Occasional EA support may be required on an ad-hoc basis.

Qualifications and Experience:

    • 5 years of relevant administrative or facilities experience within a professional services environment.
    • Demonstrated experience supporting multiple business leaders working within a matrixed environment. .
    • Experience supervising colleagues and acting as a point of escalation for queries.

Key Skills and Competencies:

    • Ability to work with a high degree of autonomy self-direction and flexibility especially with respect to taking initiative prioritising multiple tasks and using good judgment to resolve problems.
    • Able to work with and effectively manage team members with an adaptable and flexible approach. A team player who is equally capable of providing direction and getting stuck-in in order to get the task done.
    • Strong interpersonal and communication skills (both written and oral) and the ability to work effectively with a wide range of internal stakeholders.
    • High levels of integrity and the ability to handle confidential information and situations with discretion.
    • Ability to provide accurate and efficient service under the pressure of constant deadlines. Highly organised and with excellent attention to detail.
    • Additional language skills are desirable but not essential.
