Job Summary

Position Summary

Receptionists / Registration Clerks are the first point of contact for patients and visitors. They are responsible for welcoming patients managing registration maintaining accurate records and providing excellent customer service. Their role ensures smooth patient flow and supports hospital operations by handling front desk duties with professionalism and confidentiality.

Key Responsibilities

Front Desk & Patient Reception

  • Welcome patients visitors and partners with courtesy and professionalism.
  • Provide information about hospital services procedures and schedules.
  • Answer phone calls emails and direct inquiries to the appropriate departments.

Patient Registration

  • Register patients into the hospital system ensuring accurate entry of demographic and medical information.
  • Verify insurance details (CBHI RSSB private) or payment method before service provision.
  • Issue patient identification numbers/cards and update existing records.
  • Ensure confidentiality and security of patient data.

Billing & Payment Support

  • Direct patients to the billing office and assist with initial documentation.
  • Collect consultation fees when required and issue receipts.
  • Support insurance pre-authorization and verification processes.

Patient Flow & Coordination

  • Schedule appointments and manage patient queues to reduce waiting times.
  • Liaise with nurses and clinical teams to coordinate patient flow.
  • Guide patients through service points within the hospital.

Administrative Support

  • Maintain organized front desk records logs and daily patient statistics.
  • Support preparation of daily reports on patient attendance and registration activities.
  • Assist in hospital events outreach days or community mobilization activities when required.

Requirements

Qualifications & Experience

  • Bachelors or certificate in Office Administration Customer Care Business or related field.
  • Minimum of 12 years experience in reception front office or registration (healthcare experience preferred).
  • Knowledge of hospital systems or patient registration software is an advantage.
  • Strong computer skills (MS Word Excel Outlook).
  • Excellent communication and interpersonal skills.
  • Fluency in English and Kinyarwanda required; French is an added advantage.
