We are seeking an Administrative Assistant for a 12-month fixed-term contract (full-time or part-time based on your preference) with the exciting opportunity to transition into a permanent this position you will play a vital role in supporting our office operations and executive team.
Key responsibilities include:
- Inventory Management: Order and maintain kitchen and stationery supplies.
- Executive Support: Assist EAs in Brisbane and Melbourne with scheduling document prep and task coordination.
- Mail Coordination: Handle all incoming/outgoing mail and courier services.
- Travel Coordination: Arrange flights accommodation and transport for staff.
- Expense Reconciliation: Process expenses purchase orders and credit card reconciliations.
- Document Management: Prepare and distribute correspondence reports and presentations.
- Digital Filing: Maintain organized electronic filing systems.
- Communication: Respond to phone messages and website inquiries promptly.
- Policy Support: Update office policies and procedures as needed.
- Collaboration: Work with internal teams and external providers to ensure smooth operations.
Qualifications :
- 35 years experience in office administration or a similar corporate role
- Proficiency in MS Office Suite
- Knowledge of office management practices and procedures
- Familiarity with basic financial processes (invoicing purchasing expense reconciliation)
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask and prioritize effectively
- High attention to detail and a continuous improvement mindset
- Professionalism and strong interpersonal skills
- Ability to work independently and as part of a team
- Discretion and confidentiality in handling sensitive information
