Job Summary

The Clinic Manager is a clinical leader responsible for supervising and supporting the daily activities of the clinic staff ensuring the delivery of high-quality patient-centered care. This role supports workflow optimization staff development and management of clinical services while fostering a collaborative team environment. The Clinic Manager acts as a bridge between the clinical staff and clinic leadership to maintain continuity compliance and operational excellence.


Essential Duties and Responsibilities

Supervision/Coordination

  • Supervise clinical support staff including CASs CNAs CMAs LPNs RNs Monitor Techs and Scribes.
  • Create weekly clinic team schedules ensures adequate late-night staffing coverage.
  • Manage and approve employee PTO requests and monitor employee timekeeping through Paylocity.
  • Coordinate daily staffing needs and make coverage decisions based on clinical volumes and team member availability.
  • Evaluate performance of team members and conduct personnel counseling as necessary.
  • Coordinates and administers internal team member vaccinations as required by company policy and state regulations; Submits appropriate documentation to Human Resources and Valley Health.
  • Create monthly clinical huddle agenda in collaboration with department leaders leads monthly clinical huddles and meetings focused on teamwork goals and continuous improvement.
  • Participate in interviewing onboarding orientation and mentoring of newly hired clinical team members.

Patient Experience

  • Create a patient-first culture by promoting outstanding customer service at all levels of clinical staff.
  • Ensure the clinical intake process includes accurate collection and documentation of quality data by the clinical team for every patient.

Strategy Vision and Team Cohesion

  • Conduct annual performance evaluations and job responsibility competency signoffs for clinical team members.
  • Foster collaborative communication with physicians and support a team-based approach to achieve practice success.
  • Act as a strategic thinker; regularly evaluates clinic processes proposes new initiatives and oversees their successful implementation.
  • Collaborate with the Clinic Director to support new program implementation clinical audits and process updates.
  • Lead efforts to identify and implement strategies that improve employee morale accountability and individual engagement.

Clinical Knowledge Compliance and Training

  • Conduct and monitor monthly prescription drug reports.
  • Serve as an Epic super user and provide EMR training and support to staff.
  • Ensure all clinical protocols and documentation standards are met and maintained.
  • Act as a liaison for interdepartmental communication and clinical coordination.
  • Identify clinical knowledge or performance gaps and collaborate with the Clinic Director to create and implement appropriate training programs.
  • Oversee and participate in training for onboarding new hires and preceptors.
  • Conducts weekly check-ins and skill competency verifications with new hires.
  • Serve as a certified BLS instructor (must have or be able to obtain BLS Instructor certification within three (3) months of hire) and assist with the facilitation of BLS certification classes for staff.
  • Ensure patient safety standards are upheld by clinic staff; conduct Mock Codes and Emergency Response Training on a semi-annual basis.

Qualifications

  • Associates or Bachelors degree in Nursing required. (Bachelors degree in Nursing preferred)
  • Active RN license in Virginia required.
  • Minimum of three (3) years of clinical experience in a healthcare or ambulatory clinic setting.
  • BLS Certified or ability to obtain certification within three (3) months of hire.
  • ACLS Certified or ability to obtain certification within six (6) months of hire.
  • Experience with employee training policy and procedure development and business process improvement preferred.
  • Experience with template building and scheduling processes preferred.
  • Previous experience in a supervisory or leadership role preferred.
  • Strong leadership organizational and communication skills.
  • Strong knowledge of Microsoft Office Suite office equipment EMR systems (EPIC preferred) and scheduling tools.
  • Comfortable with the use of EKG equipment and interpretation sphygmomanometer and other basic clinical assessment tools.
  • Ability to lift and carry up to 50 pounds.
