Community Stewardship and Engagement Department Description: The Parks Conservancys Community Stewardship and Engagement (CSE) team is passionate about creating and strengthening connections between communities and parklands through a variety of programs that serve a diversity of Bay Area communities. We strive to build trustful relationships and impactful experiences that provide opportunities for stewardship and science storytelling recreation exploration and wellness. We work to understand the needs of our local communities listen deeply and collaborate with our community leaders to co-create programs. We seek to support the health well-being and care of both our local communities and our flora and fauna and inspire new ways of learning and contributing to social justice and environmental issues. Our programs partnerships and initiatives intersect with our other Parks Conservancy teams such as Park Projects and Design Conservation and Community Science Youth Programs Nurseries team Volunteer and Intern Program and One Tam and tri-agency partners to ensure that our service to youth families volunteers and interns is rooted in community values and needs. As a newly restructured Department we are in the building phase of our work as we develop and formalize the programs we offer and partners/ communities we serve. The Coordinator Program Operations and Administration supports the Community Stewardship and Engagement Department by providing operational administrative communication and staff support so that community and volunteer programs can run smoothly and efficiently. This role works closely with Program Managers within this department to support day-to-day and programmatic needs for parkwide community and volunteer programs. The Coordinator builds and maintains relationships communication and collaboration among internal Parks Conservancy teams as well as with our primary park partners at the National Park Service the Presidio Trust and One Tam partners. On a need-only basis this position will provide on the ground support for programs and assist with planning coordination and delivery of programs. This is a non-exempt regular full-time position of 32 hours per week. This position is primarily in-person and the main office for this position is located at the Parks Conservancys headquarters in Fort Mason San Francisco. Reports to: Director Community Stewardship and Engagement Essential Functions and Responsibilities: Department Operations and Administration - Coordinates and supports departments operational and administrative tasks for parkwide community and volunteer programs. Works closely with Director of CSE and Program Managers to implement simple and efficient systems communication and workflow for short and long-term needs.
- Coordinates purchases and orders for program food and snacks program supplies office supplies volunteer and community appreciation uniforms and name tags for new staff.
- Prepares and submits invoices and codes and tracks small purchases
- Assists Program Managers with scheduling coordination and payment of various transportation modes (bus shuttle Lyft etc.) to connect community members for programs across the park.
- Performs monthly vehicle inspections of company vehicles and reports needs to Facilities and Fleet team.
- Supports maintenance and upkeep of community and volunteer program internal file management and storage systems for programs. Examples include: Sharepoint Photoshelter etc.
- Supports maintenance upkeep and inventory of program supplies.
- Assists Program Managers with timely and accurate program and survey data entry into Salesforce database and supports data reconciliation across teams systems.
- Supports regular website updates for events program pages etc.
- Supports Director of CSE to track the teams training needs.
- Assists with basic creation and printing of program materials such as flyers brochures translated materials etc. and purchasing materials. Some examples include creating flyers for programs through Canva printing flyers or ordering large printing orders through FedEx or similar printing shop.
- Works closely with Intern Supervisors and Volunteer and Internship team staff to ensure a smooth intern onboarding process.
- Works with CSE Department to plan and execute yearly staff celebrations and retreats.
- In collaboration with Department leads serves as an operations and administrative liaison for specific tasks with other Parks Conservancy teams tri-agency and One Tam partners.
- Supports and attends priority team and partner meetings team and branch annual retreats and gatherings annual office cleanup days etc.
- Attends monthly Parks Conservancy wide Operations and Administrative meeting and collaborates with other Operations Managers across Community & Youth Branch and organization to ensure consistent practices and systems are in place
Community and Volunteer Program Field Support - Supports community and volunteer programs on a need-basis only and assists staff with planning and coordination. This includes loading and unloading supplies in a vehicle program set-up coordination of food and refreshments audiovisual needs etc.
Supports Team Culture - Works closely with team to ensure a safe office and work environment
- Supports a team culture that strengthens and deepens Parks Conservancys community agreements values and strategic vision
- Supports team engagement in new learnings (i.e. workshops conferences) and coordinates with Director to share highlights with staff.
Other Duties as Assigned Supervision: This position does not supervise staff. Knowledge Skills and Abilities:- Excited and passionate about coordinating and supporting operational and administrative needs of program and field staff.
- One year of operations and administration experience preferred.
- Works with high attention to detail thoroughness and timeliness. Maintains organizational systems and works collaboratively to improve workflows.

Education and/or Experience: - One or more years of experience in operations logistics or administrative support for programs or events (in any sector).
- Experience in public lands agencies education youth development or nonprofit program settings is a plus but not required.
- Any combination of professional volunteer or lived experience that demonstrates the knowledge skills and abilities to perform the job will be considered.
- Formal degrees are not required for this role.
Computer Skills and/ or Experience: - Competent in the use of Microsoft Office suite especially including Word Excel PowerPoint Teams and Digital Editing software
- Proficient in the use of Microsoft Suite including Word Excel and Sharepoint
- Experience with databases or other data systems a plus
- Experience with media audio/visual technology and video editing/production (a plus)
Certifications or Licenses: - Valid Drivers License and clean DMV driving record.
- Must be comfortable driving a 7-person van pass a vehicle background check and show confidence and safety during an in-house test drive. Regularly drives large and small vans.
- Due to the nature of this position we require a Live Scan fingerprint clearance.
- This position will require mandatory and job-specific trainings and workshops.

- Work week will include working weekend days some holidays and some evenings
- Work is primarily in-person and the main office for this position is located at the Parks Conservancys headquarters in Fort Mason San Francisco.
- Regularly sits at a computer station and operates electronic equipment 4-6 hours per day
- When assisting in the field the field portion of this position is strenuous and involves walking squatting lifting and/or kneeling working in uneven terrain and in different types of outdoor weather conditions
Pay Rate and Benefits: This is a 32-hour per week benefited position. The pay rate is $26.50/hour (pay grade 14).
