Job Summary

The Managing Director (MD) within the Office of the Dean Faculty of Medicine is responsible for and provides administrative leadership for the operations budgets facilities and IT aspects within the Faculty of Medicine. The MD provides operational leadership with an emphasis on leading and implementing major collaborative and strategic initiatives that are complex in scope impactful and in partnership with a diversity of constituents with significant long-term importance and consequence to the University.

Reporting to the Dean Faculty of Medicine and Vice-President Health this position works collaboratively with key partners in the execution of UBC Faculty of Medicines and Vice-President Healths strategic plan and prioritizes initiatives supporting both the units mission and its financial sustainability. The MD works across the University to engage facilitate and enable interprofessional collaborations (e.g. UBC Faculty of Medicine Executive UBC Faculty of Medicine Council UBC Health Directors and Committees faculty staff etc.) that impact both the Vancouver and Okanagan campuses of UBC.

The MD ensures appropriate policies and procedures are developed and implemented plans are successfully executed key partners relationships are built and maintained and a culture of integrity collegiality and agility is fostered. The MD is responsible for the strategic operational oversight of all functional units. The MD will be responsible for shaping the Facultys structure overall operational strategy including facilities and IT with budgetary oversight.

The MD must have and maintain extensive knowledge of all external and internal activities and issues that may impact the Faculty of Medicine and create or adapt operational strategies and plans accordingly.


Organizational Status

Through the leadership of the Dean Faculty of Medicine and Vice-President Health this position is responsible for driving the overall operational vision for the UBC Faculty of Medicine which promotes an integrated approach to collaboration amongst all Faculty of Medicine units.

Work Performed

Strategic Operational Facilities and IT planning and Budgetary Leadership and Priority Setting

  • Drives and manages the conceptualization development and execution of action plans in support of strategic priority areas.

  • Translates the strategic direction of the Senior Leadership Team (SLT) into actionable plans ensuring the overall intention is understood and that outcomes are achieved.

  • Oversees and directs project planning and implementation; solution finding; manages identified goals from inception through execution.

  • Makes recommendations on areas where UBC Faculty of Medicine should direct its focus balancing strategic priorities with operational capacity.

  • Provides leadership in the development of planning documents such as the organizational strategic and business plan risk register operational facilities and IT planning and others as needed.

  • Makes recommendations to the Senior Leadership Team (SLT) on strategic and policy issues regarding its operational facilities and IT plans.

  • Advises and makes recommendations on matters requiring the Deans attention or involvement to enhance strategic decision-making across portfolios and alignment of goals and objectives.

  • Provides strategic guidance recommendations and coordinates the work and priorities of the SLT.

  • Provides oversight strategy and direction for all functional units including operational financial and IT administration.

  • Provides leadership and direction for change management initiatives project management and program development on behalf of the SLT.

  • Implements and operationalizes strategy in collaboration with the Office of the Dean Faculty of Medicine. Liaises regularly with academic leaders across UBC Vancouver and UBC Okanagan including Provosts offices and Deans offices at both campuses to advance the strategic priorities of UBC Faculty of Medicine.

  • Fosters relationships with key groups to enhance collaborations and partnerships between the Faculty of Medicine and faculties and units of the University.

  • Advises and serves on relevant staff and faculty committees.

  • Represents the Dean on committees and working groups as appropriate.

  • Oversees and sets the direction of the Facultys communications relating to operational administrative approach facilities and IT; including talks speeches reports and presentations to appropriately reflect UBC Faculty of Medicines goal.

Operational Leadership

  • Leads the implementation of strategic initiatives that build upon the Office of the Dean Faculty of Medicine Strategic Plan.

  • Ensures Faculty of Medicine unit leaders and staff understand and uphold the unit strategy goals and objectives.

  • Develops a solid understanding of the work performed by each unit; responds to and gives direction on issues escalated by Unit Leads.

  • Develops unit goals defines measures of progress and leads teams in aligning their day-to-day activities with strategic priorities in support of the Offices and the Universitys vision values and purpose. This includes leading and overseeing the development implementation evaluation and reporting of progress on initiatives within each unit.

  • Develops frameworks policies procedures and other systems to support the execution of UBC Faculty of Medicines strategic objectives.

  • Addresses and resolves complex operational issues working with the SLT.

  • Provides administrative leadership in operational facilities financial management and IT planning.

  • Understands and identifies core organizational issues challenges progress and risks; provides direction and resolves issues if needed.

  • Has responsibility for budgetary oversight in collaboration with UBC Vice President and Finance Operations portfolio.

  • Performs other duties as assigned.


Consequence of Error/Judgement

This position represents the Office of the Dean Faculty of Medicine as well as the University and is required to exercise professional judgment maturity collegiality and initiative while undertaking all responsibilities and developing relationships and partnerships. Incorrect decisions or judgment will directly affect UBCs reputation with students faculty staff and the broader community.

Inappropriate actions errors in performance or indiscretions in judgment can negatively impact the Office of the Dean Faculty of Medicines working relationships and credibility with a range of critical internal and external partners may result in legal action or negative public relations incur inappropriate costs and/or jeopardize the units reputation in the areas of collaborative health education research and health systems.

Supervision Received

Works independently supervision/direction from the Dean and Vice-President Health Faculty of Medicine.

Supervision Given

Leads the Office of the Dean Faculty of Medicine on operational facilities and IT administration strategic addition the Director Finance has a dotted line report into this position.

Minimum Qualifications

Masters degree in a relevant discipline. Minimum of ten years of related experience or the equivalent combination of education and experience.
