Job Summary

About the Role

We are looking for a detail-oriented and proactive Sales Coordinator to support the day-to-day operations of the sales function. This role is key in ensuring customer orders are processed smoothly the sales team is fully supported and clients receive accurate timely information at every stage of the sales cycle.

Key Responsibilities

Order Management & Administration

  • Process and manage customer orders from entry through to delivery ensuring accuracy and timely follow-up.
  • Coordinate with logistics/warehouse teams to arrange deliveries and resolve any delivery-related issues.
  • Monitor open orders backorders and delivery schedules proactively updating customers and the sales team.

Quotations Pricing & Documentation

  • Prepare and issue quotations price lists pro forma invoices and sales invoices.
  • Ensure that all sales documentation (contracts order forms price agreements etc.) is complete accurate and properly filed.
  • Maintain up-to-date records of pricing discounts and customer-specific agreements.

Customer Communication & Support

  • Respond to customer enquiries regarding products pricing stock availability and delivery timelines via phone and email.
  • Handle customer complaints or issues related to orders and deliveries ensuring swift resolution and professional communication.
  • Build and maintain positive relationships with customers by providing a high level of service and support.

Sales Team Support

  • Provide daily sales support to sales representatives operating in the market (e.g. preparing quotes documentation product information and reports).
  • Ensure sales representatives have all necessary documentation and information ahead of client visits and meetings.
  • Communicate order updates stock availability and delivery schedules to the sales team in a clear and timely manner.

Data Management & Reporting

  • Maintain an accurate and up-to-date customer database and sales records in the CRM and/or ERP systems.
  • Prepare regular reports on sales activity order status and customer accounts as required by management.
  • Support in compiling data for sales forecasts budgets and performance analyses.

Requirements

Experience & Education

  • Previous experience in a sales coordination sales administration customer service or order processing role.
  • Experience working with CRM and/or ERP systems is highly desirable.
  • A diploma or degree in Business Administration Sales or a related field is considered an asset.

Skills & Competencies

  • Strong organisational skills with excellent attention to detail and accuracy.
  • Confident communicator with strong written and verbal communication skills.
  • Customer-focused mindset with a professional and solution-oriented approach.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Good numerical skills and confidence working with pricing and invoices.
  • Proficient in MS Office (especially Excel Outlook and Word).
  • A team player with a collaborative attitude and willingness to support others.
