Summary
The Grants & Billing Specialist is responsible for managing the financial and administrative aspects of grants contracts and billing processes. This role ensures compliance with grant requirements accurate financial reporting and timely submission of invoices and reimbursements. The specialist works closely with program staff funders and the finance team to monitor budgets track expenditures and maintain documentation for audits and reports.
Essential Functions
Prepare and process invoices drawdowns and reimbursement requests for grants contracts and accounts receivables.
Track grants receivable and accounts receivable to follow up on outstanding payments.
Review grant agreements and contracts to identify financial and reporting requirements.
Reconcile billed amounts with expenditures and ensure accuracy of cost allocations.
Monitor and maintain grant expenditures with tracking systems to ensure compliance with funder rules organizational policies and applicable laws/regulations.
Maintain organized records of grant documents billing statements communications with funders and accounts receivable.
Support the development of new grant applications by providing financial data or budget support.
Qualifications
Bachelor of Science in Accounting
2-4 years of nonprofit accounting experience including direct experience managing grants restricted funds and nonprofit accounts receivable.
Familiarity with federal state and private grant requirements and nonprofit reporting standards (GAAP and GASB).
Experience with electronic grant submission and reporting systems preferred.
Experience with OMB Uniform Guidance 2 CFR Part 200 preferred.
Skills and Competencies Proficiency in QuickBooks Microsoft 365 SharePoint TEAMS and Adobe Acrobat Pro.
Ability to communicate complex financial information clearly to non-financial stakeholders.
Ability to work independently and collaboratively.

Work Environment
Mobility sufficient to conduct regular duties within a normal office environment.
Ability to lift up to 20 pounds in order to safely manage office supplies and equipment.
