About the role
As a business unit of the Digital division the Portfolio Delivery department manages programs and projects to deliver aligned strategic priorities and digital capabilities across AEMO. The Portfolio Delivery Office (PDO) provide PMO operational support and services to programs and projects within Portfolio Delivery. The PDO has a strong focus on the continuous improvement of portfolio and project delivery processes and tools to support efficient and effective delivery in adherence to the methodologies frameworks and policies defined by EPO Finance Procurement and People & Culture.
Reporting to the PMO Delivery Quality Manager the Portfolio Administrator role provides Digital Portfolio Delivery Project Managers and Portfolio Delivery Managers with administrative support to ensure projects are managed effectively and are delivered in a safe efficient and transparent manner that supports achievement of portfolio project and business objectives.
What you will be doing
- Responsible for the onboarding/offboarding and extension of Digital resources - raises appropriate ServiceNow requests that align with procurement policies
- Manage the creation and tracking of external resource Purchase Orders in alignment with contractual commitments
- Maintain procurement and staff augmentation tracking register of all received requests providing enhanced visibility through PowerBI Reports
- Manage the contract approval process - quality assurance of received Contract Summary Forms (cover note) and procurements liaising with PM/vendors to create DocuSign workflow ensuring appropriate Delegation of Authority (DOA) is followed
- Generate external workforce reports to provide visibility of upcoming external resource end dates
- Update Digital Distribution Lists for new starters to AEMO
Experience and knowledge
- Experience working in a similar administrator function on small to medium projects preferably across a range of industries energy advantageous
- Demonstrated understanding of project methodologies and an interest in the energy sector.
- Experience using DocuSign workflows
- Experience with Accounts Payable processes - vendor invoices and purchase orders. D365 F&O experience and advantage.
- Experience in compiling data and producing in reports along with an understanding of financial reports documentation and tools required within project management.
- Advanced skills in MS Excel or Access.
- Ability to work within a team while also using initiative to complete regular ongoing tasks and provide advice or support to colleagues as required.
