As Front of House & Administrative Assistant youwill be part of the Engine Shed team responsible for this high-profile HES asset and venue presenting it as an attractive inclusive and welcoming place for the sector and HES staff to collaborate and learn.
You will work within the Programme and Quality Assurance Department and may be line managed by a Programme Delivery Officer.
Youwill also support the TET Adminstration Officer TET Front of House Officer and a range of Project Managers who lead on different aspects of the TET work programme including the Skills Training Centres in Stirling and Elgin.

Key Responsibilities of this role
As the Front of House & Administrative Assistant you will be responsible for:
Engine Shed Front of House & Facilities
Opening and closing the building; performing regular health and safety checks; answering in-person telephone and email enquiries; processing card payments for retail sales; supporting staff when hot desking and using meeting rooms key log management and providing a welcome and induction for staff and visitors.
Liaising with a variety of suppliers such as demonstrators speakers caterers contractors and the Monument Care Unit.
Provide assistance with creating and maintaining processes procedures and guides in particular those relating to the Engine Shed building operations.
Skills Training Centre
Responsible for providing weekly administrative support at Stirling Training Centre and where possible Elgin Training Centre.
Support the maintenance of operational standards that enable HES to deliver upon its obligations as an approved training centre for Scottish Qualifications Authority (SQA) & National Open College Network (NOCN) (the awarding bodies). Ensure the delivery of on-line and in person accredited training adheres to quality assurance (QA) requirements and is aligned with QA systems processes policies and procedures.
Events
First point of contact for event enquiries. Coordinate and contribute to forward planning and scheduling. Support the Programme Delivery Officers with the set up and delivery of events activities and training taking place at the Engine Shed such as room set up AV equipment support booking catering delegate management and registration.
Catering
Responsible for coordination of catering in support of all events training and meetings at the Engine Shed and Skills Training Centres. Includes liasing with internal and external partners menu selection compiling records of feedback and feeding into annual reviews and improvement plans. Provide periodic reporting.
Finance
Support the TET Administration Officer with finance duties including updating suppliers on the system raising Purchase Orders and receipting goods. Support the Engine Shed Programme with invoicing clients and tracking payments in collaboration with Sales Ledger.
Liaising with TET Admin Officer reporting on income and feeding into evaluation and impact monitoring reporting.
TET Administration
Undertake a diverse range of administrative tasks including meeting set ups; minute taking; scanning printing and other ad hoc requests. Issuing booking information documentation in response to booking enquiries and actively managing room and car bookings. Setting reminders collating information and contributing to regular Team Department and wider Directorate reporting as well as specific evaluation summaries and follow up case studies.
