WHAT YOU WILL DO

The Meetings & Events Manager Product Meetings based in Lisbon/Portugal supports the Product Meetings Lead within Global Meetings Management (GMM). This role plays a critical part in the execution and delivery of global meetings and events outside of the U.S. across the product lifecycle from clinical to commercial phases.

You will focus on operational excellence compliance and supplier partnership ensuring that Amgens meetings outside the U.S. are executed to the highest standards of quality compliance and innovation. Working closely with the Senior Manager internal business partners and external agencies youll help deliver exceptional compliant and globally consistent meeting experiences that align with Amgens mission and brand values.

The responsibilities of the role will include:

  • Program and Meeting Management:
    • Support the end-to-end planning and execution of in-person virtual and hybrid meetings outside of the U.S. including investigator meetings advisory boards launch meetings and internal events.
    • Ensure all meetings outside the U.S. comply with Amgens Global Meetings Policy HCC standards and local regulations.
    • Coordinate logistics meeting materials registration data management reporting and post-event reconciliation with suppliers and internal stakeholders.
    • Partner with cross-functional teams (Medical Corporate Affairs Compliance Legal Finance and Procurement) to ensure alignment of meeting objectives and outcomes.
    • Ensure operational consistency standardization and adherence to global best practices.

  • Supplier and Vendor Management:
    • Partner with approved suppliers and meeting agencies to deliver high-quality compliant meeting solutions.
    • Support supplier performance management through service level monitoring KPI tracking and business reviews.
    • Escalate and resolve supplier issues in partnership with the Senior Manager.

  • Compliance and Risk Management:
    • Serve as the SME for HCP hospitality and meeting compliance guidelines.
    • Demonstrate strong understanding of related business processes and rules governing HCP interactions.
    • Proactively identify and mitigate risk in all meeting activities ensuring adherence to global and regional regulations.
    • Collaborate with Compliance Audit and GMM partners to uphold operational integrity and consistent application of standards.

  • Technology and Data Management:
    • Manage meeting-related data within Cvent and related systems to ensure accuracy transparency and performance reporting.
    • Identify and apply process efficiencies automation and technology enhancements to optimize meeting management outside the U.S.
    • Contribute to the development and maintenance of meeting metrics dashboards and reports for leadership visibility.

  • Stakeholder Partnership and Communication:
    • Serve as a key partner for the Senior Manager and team to ensure clear communication coordination and execution excellence.
    • Support proactive communication with stakeholders to manage expectations and share updates.
    • Represent GMM standards and promote process adoption across the meeting portfolio globally.

  • Training and Continuous Improvement:
    • Participate in training sessions and share learnings to strengthen GMM operational knowledge across teams and suppliers.
    • Support the refinement of standard operating procedures (SOPs) and best practice documentation.
    • Contribute ideas for innovation and continuous improvement to enhance efficiency and attendee experience.

Preferred requirements

  • Bachelors degree and 5 years of project travel or meeting management experience preferably within the life sciences or healthcare industry.
  • Proven experience managing international HCP and internal meeting logistics in a global or regional environment.
  • Strong understanding of compliance standards and HCP regulations in global meetings management.
  • Demonstrated ability to manage multiple complex projects simultaneously in a fast-paced setting.
  • High digital proficiency with Cvent Microsoft Office Suite Tableau and Smartsheet.
  • Excellent communication and stakeholder management skills with a proactive and collaborative approach.
  • Strong organizational skills and attention to detail.
  • Fluent in English (required); proficiency in additional European language(s) is a plus.
