About General Manager Office (EU)

We are in charge of the office maintenance administration and daily operation of our office in the Netherlands also providing guidance and support to our branch offices all over Europe. With the rapid growth of our business we are planning to increase our scale in personnel and spaces. Our target is to provide a good working as well as living environment to our colleagues and branch offices. We are in search of talents that would like to support our colleagues in this dynamic electric journey.

About the role:

  • We are seeking an experienced and proactive Administrative Specialist to support the National Support Centers (NSC) across Europe. The ideal candidate will have a strong background in administrative management excellent organizational skills and the ability to streamline processes to ensure operational efficiency. This role requires fluency in English and familiarity with European office compliance standards.

Main duties and responsibilities:

  • Standardization of Administrative Processes and Compliance Management
    • Lead and promote the establishment implementation and continuous optimization of administrative management systems processes and standards for the NSC region.
    • Ensure all NSCs strictly comply with local legal regulations and internal company policies in their administrative operations.
    • Conduct regular compliance reviews and risk assessments and implement improvement measures.
  • Daily Operations and Office Management
    • Assist countries in managing the end-to-end office leasing process.
    • Support countries in the procurement of fixed assets (e.g. office equipment furniture) and daily consumables (e.g. stationery beverages) and guide them through the expense payment process.
    • Provide administrative support for employee onboarding and offboarding in each country.
  • Cross-Department Collaboration and Communication Support
    • Serve as an administrative communication bridge between headquarters and each NSC ensuring accurate and efficient information flow.
    • Collaborate closely with Human Resources Finance Procurement IT and other departments to provide employees with a seamless office environment and administrative support.
  • Asset and Administrative Support for Countries Without Established NSCs
    • Provide fixed asset management support for countries without established NSCs including procurement allocation inventory and disposal.
    • Assist in handling temporary administrative tasks during the preliminary preparation stages in these countries.
  • Perform other duties as assigned by management.

Profile:

  • 3-5 years of administrative experience with preference given to candidates with relevant HR or finance work experience.
  • Familiar with European office compliance and operational requirements.
  • Proficient in Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Fluent in English (written and spoken) with Chinese or other language skills preferred.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
