- Direct experience with ClickUp HubSpot or other project management/CRM software is highly preferred.
- If no direct experience candidates must demonstrate an ability to quickly learn complex software independently using available resources such as guides tutorials and minimal supervision.
- AI Tool Expertise (Required):
- Familiarity with ChatGPT Microsoft Copilot or other AI tools to assist with project management and operational tasks.
- Must be able to write and optimize prompts effectively for work-related use.
- Advanced knowledge of Microsoft Office 365 products.
- Outlook: email inbox management and organization required

Key Responsibilities:
- Respond to client and vendor emails professionally and efficiently.
- Coordinate and schedule interpreter services.
- Act as a liaison between clients interpreters and organizational stakeholders.
- Maintain accurate records of interpreter assignments and related documentation.
- Assist with the development and implementation of policies and procedures for interpreter services.
- Recruit new interpreters on an ongoing basis.
- Update our database of interpreters on an ongoing basis.
Calendar Management & Scheduling Logistics:
- Handling back-to-back meetings time zone coordination last-minute changes sending calendar invites.
- Customer Service & Response Time: Prompt professional communication with clients and interpreters; managing expectations in time-sensitive situations.
- Interpreter/Vendor Coordination: Selecting and confirming the right interpreter for each request dealing with interpreter availability or cancellations maintaining a roster/database of interpreters. Direct experience is preferred but we recognize that is a relatively niche market so this can be expanded to include general vendor coordination and management.
- CRM/Tool Usage: Using platforms like ClickUp (preferred) or industry standard
- CRM platforms (vendor/customer data management) and email marketing campaigns. (Note: we recently transitioned from HubSpot to Zoho so having direct experience using Zoho is preferred.)
