Job Summary

What Were Looking For:

  • Fluent English speaker or native-like proficiency.
  • Clear and concise communication skills.
  • Project Management & CRM Proficiency:
  • Direct experience with ClickUp HubSpot or other project management/CRM software is highly preferred.
  • If no direct experience candidates must demonstrate an ability to quickly learn complex software independently using available resources such as guides tutorials and minimal supervision.
  • AI Tool Expertise (Required):
  • Familiarity with ChatGPT Microsoft Copilot or other AI tools to assist with project management and operational tasks.
  • Must be able to write and optimize prompts effectively for work-related use.
  • Advanced knowledge of Microsoft Office 365 products.
  • Outlook: email inbox management and organization required
  • Teams: clear and concise communication with the project management team is critical to a smooth workflow!
  • Ability to manage multiple projects in a fast-paced environment.
  • Detail-oriented and highly organized.
  • Experience working with remote teams in different time zones.

Key Responsibilities:

  • Respond to client and vendor emails professionally and efficiently.
  • Coordinate and schedule interpreter services.
  • Act as a liaison between clients interpreters and organizational stakeholders.
  • Maintain accurate records of interpreter assignments and related documentation.
  • Assist with the development and implementation of policies and procedures for interpreter services.
  • Recruit new interpreters on an ongoing basis.
  • Update our database of interpreters on an ongoing basis.

Calendar Management & Scheduling Logistics:

  • Handling back-to-back meetings time zone coordination last-minute changes sending calendar invites.
  • Customer Service & Response Time: Prompt professional communication with clients and interpreters; managing expectations in time-sensitive situations.
  • Interpreter/Vendor Coordination: Selecting and confirming the right interpreter for each request dealing with interpreter availability or cancellations maintaining a roster/database of interpreters. Direct experience is preferred but we recognize that is a relatively niche market so this can be expanded to include general vendor coordination and management.
  • CRM/Tool Usage: Using platforms like ClickUp (preferred) or industry standard
  • CRM platforms (vendor/customer data management) and email marketing campaigns. (Note: we recently transitioned from HubSpot to Zoho so having direct experience using Zoho is preferred.)
