Were seeking two experienced Executive Assistants who understand how to effectively contribute to actioning administrative tasks thereby freeing up the leaders time to focus on strategic priorities and core operational activities.
In this dynamic environment youll provide high-level support to several leaders. This means that youll not only manage the operational activities but also demonstrate what great looks like by helping to manage busy schedules coordinate key processes and meetings and ensure that information and decisions flow seamlessly. Youll bring initiative discretion and great communication skills and youll enjoy building strong connections with people across all levels of the University.
Ngā Haepapa Matua Key Responsibilities (not limited too)
- Timely and effective diary management for leaders you support including prioritising rescheduling and coordinating logistics
- Managing the leaders email inbox through filtering responding and organising messages to ensure important communication isnt missed.
- Coordinating activities processes and workflow of the leaders you support
- Drafting formatting and enhancing documentation including correspondence presentations and reports.
- Be available on campus to support meeting and forum arrangements including room and technology set-up and visitor greetings
The role is a full-timepermanent role (37.5 hours per week)
The remuneration is $ 62400 - $ 82400 per annum dependent on skills and experience.

Were seeking confident and experienced Executive Assistants who excel in a busy and complex environment and take pride in delivering effective support. To succeed in this role youll bring:
- Experience (5 years) supporting leaders as either a Personal Assistant Executive Assistant or with senior administrative experience.
- Exceptional organisational and time management skills with the ability to anticipate needs manage multiple priorities and stay calm under pressure.
- Outstanding communication skills written verbal and interpersonal
- High-level proficiency in Microsoft 365 (Outlook Word Excel PowerPoint Teams) and a natural ability for learning new systems and tools including AI
- Proactive solutions-focused approach demonstrating sound judgement discretion and professionalism in handling sensitive and confidential information.
