PURPOSE OF THE ROLE

The Executive Assistant provides high-level administrative support to the CEO and GM ensuring their time is managed efficiently while also providing Board company secretarial and stakeholder management support. This role combines traditional EA duties with responsibilities that ensure smooth governance processes and effective engagement with internal and external stakeholders.

KEY RESPONSIBILITIES

Executive Support

  • Manage CEO and GM diaries emails and workflows to optimise their time and priorities.
  • Coordinate domestic and international travel arrangements.
  • Draft review and edit correspondence reports and presentations.
  • Maintain confidential and sensitive information.

Strategic Support

  • Support the CEO and GM in updating the strategic plan as directed
  • Support the CEO and GM with strategic projects particularly focusing on documentation (papers presentations etc)
  • Actively manage meetings and relevant agendas for strategic meetings and projects.

Board & Company Secretarial Support

  • Coordinate Board Sub-Committee and Advisory Group meetings: agendas materials minutes and follow-up actions.
  • Ensure timely submission of Board and Sub Committee papers and regulatory filings (ASIC ACNC).
  • Support governance processes and compliance requirements. .

Stakeholder Management

  • Act as a key point of contact for external stakeholders including government agencies cultural partners and resident companies.
  • Manage and distribute opening night and other key stakeholder invitation lists ensuring invitation lists are appropriately curated for the type of event/program.
  • Build and maintain professional relationships to support Carriageworks objectives.
  • Coordinate meetings communications and follow-up with external stakeholders as required.

Leadership & Collaboration

  • Actively contribute to the Carriageworks team collaborating with colleagues across departments.
  • Uphold and promote Carriageworks values in all interactions.

ESSENTIAL CRITERIA

  • 2 years experience in an executive support role.
  • Strong administrative organisational and multitasking skills.
  • Experience managing executive diaries travel and meetings.
  • Experience in Board administration or company secretarial support.
  • Strong written and verbal communication skills.
  • Ability to prioritise competing demands and work independently.
  • Interest or experience in arts and cultural sectors.
  • Requirement to be office based at least 4 days per week with a maximum of 1 day working from home.
