TheDepartment of Parks and Recreation is looking for an organized multitasker who can keep things running smoothly behind the scenes by coordinating and managing matters that require executive attention. As a Secretary III you will provide high-level secretarial and administrative support to the Head of the Executive Services Division by keeping information flowing smoothly documents well-organized and operations running efficiently.

What You Will Do:
  • Receive review edit and finalize all draft memoranda reports proposed rules and ordinance changes and all official correspondence for the division and department.
  • Receive and screen incoming written and electronic correspondence reports and other materials ensuring proper routing and timely follow-up.
  • Answer phones greet visitors arrange meetings and coordinate schedules.
  • Maintain and organize various electronic and paper files.
  • Create and maintain a tracking system for revised drafts responses and other sensitive documents.
  • Maintain up-to-date manuals on policies and procedures rules and regulations directives etc.
  • Perform other related duties of the position.

Special Work Requirements:
  • Will serve as Disaster Response Worker during declared civil defense emergencies.

Minimum Qualification Requirements

At the time of application you must be a citizen national or permanent resident alien of the United States or a non-citizen eligible under federal law for unrestricted employment.

EDUCATION REQUIREMENT:
Equivalent to graduation from high school. Responsible work experience demonstrating the ability to perform the essential functions of the job may be substituted for education.

EXPERIENCE REQUIREMENT:
Four years of secretarial stenographic or substantive clerical experience.

Key Competencies Needed:

  • Knowledge of and familiarity with office practices and procedures;
  • Working knowledge and experience with computers and word processing other software applications;
  • Working knowledge of filing methods and systems;
  • Proper application of correct grammar spelling and word usage;
  • Experience in the use of standard office equipment;
  • Ability to type and input information accurately;
  • Ability to summarize and brief materials;
  • Ability to deal tactfully and effectively with employees and the public;
  • Ability to work harmoniously with others.

LICENSE REQUIREMENT:
Possession of an appropriate valid drivers license as required.
