As the Reservations Services Manager at Bandon Dunes Golf Resort youll oversee the entire reservations operationmanaging both our Coos Bay office team and remote agents who connect guests with their dream golf vacation. Youll lead supervisors reservation specialists and PBX operators ensuring everyone delivers exceptional service regardless of where theyre working. Your day involves coaching your teams across locations troubleshooting technical issues and solving problems that keep our booking engine running smoothly. Youll balance the numbers sidemaximizing occupancy and tee time utilizationwith the people side building teams that genuinely help guests create their perfect trip of a lifetime.
About Bandon Dunes Golf Resort:
Bandon Dunes is a world-class golf resort located on the Oregon Coast near the charming community of Bandon. Guests come to experience golf as it was meant to be at Bandon Dunes six distinct golf courses. That includes five 18-hole courses which all rank among the top 16 public courses in the United States according to Golf Digest. The resort is also home to an award-winning par-3 course Bandon Preserve and the new Shortys opened in 2024. The two short courses are Courses with a Mission with all net proceeds funding the Bandon Dunes Charitable Foundation. The Foundation supports communities along the South Coast of Oregon.

What Youll Do

    • Run a multi-location operation. Youll oversee the Coos Bay Reservations Office and manage remote agents which means keeping both teams engaged productive and delivering consistent service. Youll handle the physical office toocoordinating with building management on security cameras access codes vendor accounts for janitorial services and supplies and ensuring payment information is handled securely.
    • Build and lead teams that guests trust. Youll oversee reservation supervisors specialists and PBX operators across locations. Youll hire and coach staff conduct performance reviews and partner with HR on improvement plans when needed. Working with your supervisors youll monitor call scoring and address performance issues promptly. Youll run regular team meetings to keep everyone aligned lead the employee recognition program and maintain a professional environment where people want to work.
    • Keep operations running without a hitch. Youll build staff schedules that ensure adequate coverage and supervisory presence. Youll manage PTO approve payroll fix timekeeping errors and keep office expenses within budget. Youll monitor call queues voicemails and emailstracking metrics like turnaround times hold times and guest satisfaction. Youll ensure daily checklists get completed and provide first-level troubleshooting for software and equipment issues escalating to IT when necessary.
    • Navigate change and emergencies. Youll oversee software implementations technology upgrades and operational rollouts to ensure smooth transitions during peak periods. Youll develop and maintain emergency procedures coordinating with property management and local emergency services. Youll maintain business continuity plans for outages and service disruptions making quick decisions to minimize guest impact.
    • Make sure were fully booked. Youll work with our Revenue Management team to maximize room occupancy and golf bookings. Youll manage cancellations and waitlists to optimize booking opportunities and handle VIP guest bookings when needed.
    • Deliver exceptional guest service. Youll ensure timely and accurate communication with all guests. Youll resolve escalated issues with professionalism and empathythe frustrated caller whose reservation got lost the VIP who needs something special. Youll monitor guest surveys regularly follow up on concerns and share positive feedback with your team.
    • Connect the dots across the organization. Youll provide performance reports to leadership and serve as the liaison between Reservations and other departments. Youll keep SOPs task guides and checklists current communicate updates and ensure staff are trained on new procedures. Youll hold regular meetings with supervisors auditors trainers and agents to promote collaboration. Youll reinforce team structure by ensuring agents report to the on-duty supervisor.
    • Lead with commitment. This role requires dedication and occasional extended hours beyond a standard workweek. Youll take initiative recognize when additional time or support is needed and do what it takes to ensure responsibilities are met without needing to be asked.

What You Bring

    • Youve managed people and operations before. At least 2 years of management supervisory or leadership experience ideally in hospitality. Call center or hotel property management system experience is particularly valuable because you understand phone-based operations and how to maintain service quality across locations.
    • Youre a strong communicator. You write clearly speak effectively and interact professionally with staff guests and vendorsin person by phone and in writing. You can explain a technical issue to IT coach someone through a performance concern and present updates to leadership with equal confidence.
    • You handle multiple priorities without dropping balls. You can schedule staff approve payroll troubleshoot a software issue resolve a guest complaint and prepare for a technology rolloutsometimes all in the same day. You stay organized under pressure and know how to prioritize.
    • Youre technically capable. Youre proficient in Microsoft Office Suite and can learn reservation and property management software platforms. Youre comfortable with first-level troubleshooting and know when to escalate technical issues.
    • You have payroll and scheduling experience. Youve managed payroll approvals timekeeping accuracy and staff schedules before. You understand how to keep expenses within budget while maintaining adequate coverage.
    • You lead with professionalism. You maintain composure delegate effectively manage your time well and hold yourself and others accountable. Youre adaptable during system changes and follow through on projects with focus and enthusiasm.
    • You have the practical requirements. Ability to pass background check. Willingness to work days evenings weekends and holidays as business demands.
