Were looking for a Studio Manager an all-rounder who supports day-to-day operations across administration HR support financial coordination and project/client coordination. Youll keep the studio humming: organizing information aligning people and schedules and ensuring projects move on time and on budget. Youll work closely with leadership and senior technical staff helping translate plans into action while maintaining tidy systems and clear communication.
What Youll Do:
Administrative Management
- Manage and organize the office environment (supplies equipment general tidiness).
- Handle incoming/outgoing communications (calls emails mail).
- Maintain digital/physical filing for projects clients and company records.
- Prepare and format documents reports proposals and presentations.
- Manage calendars schedule appointments and drive reminders for key deadlines.
- Process/track invoices expenses and financial documentation with Accounting.
- Act as primary point of contact for external vendors and service providers.
Project & Client Coordination
- Assist in preparing project proposals and contracts.
- Coordinate with clients and consultants (e.g. engineers surveyors contractors) for meetings and information exchange.
- Maintain accurate project records (contacts schedules deliverables).
- Track milestones and deadlines flagging risks early.
- Handle client inquiries and route to the right team member.
HR & Team Support
- Support onboarding employment paperwork and personnel file maintenance.
- Coordinate team events and office celebrations.
- Manage and track leave requests and timesheets.
- Assist recruitment: post job descriptions schedule interviews and coordinate candidate communication.
Meeting Organization
- Arrange logistics agendas notes and follow-ups for internal and client meetings.
- Marketing & Business Development Support (as needed)
- Prepare/organize marketing materials (project portfolios brochures).
- Update website and social channels with project photos and company news.
- Maintain a client database and assist with outreach.
- Help coordinate firm events (open houses professional gatherings).
Requirements
What You Bring
Were looking for someone who:
- Proven experience in project coordination operations or studio administration with a strong grasp of project management (timelines workloads deliverables)
- Proficient with CRM/project tools (Trello or similar) and Excel/Google Sheets
- Confidence to coordinate across directors clients and staff. Communicate clearly lead proactively and keep teams on track
- Strong advantage for candidates with experience in office management and project coordination in an engineering or architectural environment.
- Experience assisting marketing/business development is a plus
- Familiarity with Xero is desirable (training available for strong enthusiastic candidates)
- Above all youre switched on energetic dependable and not passive.
