Position : Finance & Admin Assistant
Working Schedule : 9a-5p EST
Salary Range :$1000 - $1500 USD Monthly (the final salary will be determined by the candidates level of experience and at the discretion of the client)
Role Summary
The Finance and Admin Assistant provides essential support to the Finance and Administration departments ensuring the smooth and efficient operation of daily office functions and core accounting processes. This role requires excellent organizational skills attention to detail and discretion in handling sensitive financial and operational information.
Key Responsibilities
I. Financial and Accounting Support
Full Payroll Management: Take full responsibility for running payroll using OnPay software. This includes accurate and timely processing for all employees.
Process accounts payable (A/P) and accounts receivable (A/R) including preparing invoices verifying payment documentation and reconciling vendor statements.
Process and submit expense and invoices weekly to all sites.
Maintain accurate financials monthly completing all necessary month-end tasks and reconciliations.
Prepare and file quarterly sales tax reports.
Assist the Finance Manager with bank and credit card reconciliation processes.
Process employee expense reports ensuring compliance with company policies.
Maintain accurate and up-to-date financial records and filing systems both physical and digital.
Support the preparation of financial reports and documentation for audits or tax filings as requested.
II. Administrative and Office Management & HR Support
Maintain and update employee records comprehensively and ensure HR updates are accurately maintained.
Assist the HR department with basic administrative tasks such as onboarding paperwork.
Serve as the primary point of contact for external vendors and service providers related to office operations.
Assist with scheduling meetings preparing meeting agendas and taking accurate minutes when required.
III. Data Entry and Documentation
Accurately input financial and operational data into the companys accounting software and databases (e.g. QuickBooks Google Sheets).
Create organize and archive company documentation and records ensuring easy retrieval and confidentiality.
Assist in maintaining organized inventory and asset tracking records.
Required Qualifications
- 3 years of experience in a finance accounting or administrative support role.
- Proven basic knowledge of accounting principles and practices (A/P and A/R).
- Proficiency in Microsoft Office Suite specifically strong skills in Excel (creating spreadsheets basic formulas).
- Experience with standard accounting software is highly desirable.
- AI experience is preferred
