We are looking for a Receptionist for our Integrated Facilities Management business line.
Role Purpose
We currently have an exciting opportunity for a Receptionist. The successful candidate will get the opportunity to meet a variety of people and gain experience in a professional environment affording them the opportunity to hone and develop their skills in facilities management.
What this job involves
Greet and welcome guests as soon as they arrive at the office
Notify company personnel of visitor arrival
Support for colleagues and other departments
Answer screen and forward incoming phone calls
Ensure reception area is tidy and presentable with all necessary stationery and material
Receive sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (issue employee visitor contractor badges)
Order front office supplies
Prepare meeting rooms
Provide front of house and reception services for the client directly.
Handling the clients reception duties with care commitment and always in a courteous manner.
Managing and responding to the clients customers requirements and requests to ensure a high level of customer support to the JLL clients
Telephone enquiries (internal & external)
Distributing calls throughout the building taking messages if necessary and e-mail relevant individuals without delay
Handle couriers and post deliveries and collections
Keep reception area neat and tidy
Check e-mails react accordingly
Book taxis in line with the clients policy and procedures
Ensure all activities are carried out are in accordance with Health and Safety policies
Manage client requests via the tickets system in place
Support with events
Note in exceptional circumstances there may be a requirement to assist with other ad hoc duties for the client off reception
Specific Duties not covered above:
Ordering couriers
Register incoming packages at the courier and in the local registry booklet / tablet then send an email to the recipient employee
Issuance of packages and letters
Keeping outgoing and incoming mail in a spreadsheet (excel)
Check the list returned from the post office
Receipt handling registration and storage of office supplies
Office supplies warehouse management
Creating a badge for guests registering and accompanying them on arrival (if necessary)
Booking of meeting rooms
Confidential document container replacing
Order paper and envelopes to copy rooms
replacement of flipchart paper whiteboard felt-tip pen clearing of whiteboard in the meeting rooms
Sound like you To apply you need to be able to demonstrate the following skills and experience:
Excellent communication skills
Ability to interact with all members within the company & handle a busy telephone and customer facing reception desk
Ability to handle multiple requests and work in a fast-paced office environment
Ability to accurately complete tasks assignments & responsibilities in timely manner
Responsive to customer requests in an empathetic supportive and productive manner
Must remain calm courteous and polite in all circumstances
Possess a good level of IT literacy
Basic technical knowledge / understanding
Advanced in both Czech and English
Demonstrate a high level of initiative and be proactive
Must be flexible in hours
