Job Summary

The Office Assistant supports the Administrative office by demonstrating efficient organizational skills and by performing a variety of clerical and administrative tasks as well as cross-training to provide back-up support for other Admin office essential functions.

The Office Assistant plays a key role in ensuring that the office runs addition to excellent administrative skills the ideal candidate for this position will have friendly professional communication skills a high level of energy and initiative have knowledge of and ability to operate office equipment such as computers fax machines shredders copiers beverage machine etc. Dependable attendance and time management and the desire to support our Shore community in a positive manner is critical. This position reports to the Director of HR.

Schedule: Monday - Friday 8:00 a.m. to 4:00 p.m. with the exception of one monthly board meeting during the school year which will require the Office Assistant to work until 4:45p.m. Schedule flexibility will be provided on that day to accommodate the extended hours.

Essential Duties and Responsibilities:

  • Provide courteous thorough and efficient service to visitors and staff of Shore Educational Collaborative through daily interactions and routine administrative tasks.
  • Answer screen and route incoming calls and emails to the appropriate personnel.
  • Prepare edit and distribute correspondence reports and meeting materials.
  • Perform general administrative duties such as filing records management scheduling system tracking processing requisitions and purchase orders accounts payable and assisting with various projects as needed.
  • Receive and distribute incoming mail; prepare and send outgoing communications including letters reports and welcome packets.
  • Maintain the appearance and functionality of common areas to ensure a professional and organized environment.
  • Collaborate with facilities staff to support operational needs through the work order system.
  • Monitor and replenish inventory levels of mailroom and kitchen supplies including copier maintenance paper restocking and beverage refills.
  • Provide clerical support to the Finance and Human Resources departments including reviewing bills and receivables filing assisting with onboarding and helping coordinate office events.
  • Act as the Accounts Payable back up (training will be provided) in case of staff absence.
  • Conduct driver record checks for staff authorized to operate Shore vehicles.
  • Assist with coordinating maintenance requests and vendor services.
  • Serve as a primary point of contact for staff inquiries related to operations facilities and supplies.
  • Perform additional administrative duties as assigned.

This position pays$25 to $27 based on experience and includes paid time off great benefits and participation in the Massachusetts State Retirement Systems pension plan.

Minimum Qualifications:

  • High school diploma or GED required Associates or Bachelors degree a plus.
  • Fluency in oral and written communication skills in both English and Spanish is required.
  • Ability to work independently and collaboratively in an Administration environment.
  • Outstanding oral communication and interpersonal skills
  • Proficient with or the ability to quickly learn various software.
