The Accounts Payable Specialist is responsible for managing the companys outgoing financial obligations This role involves invoice processing reconciling statements maintaining accurate records and ensuring timely payments to vendors. This is a full-time non-exempt position and member of the business office staff who reports directly to the Controller.
Essential Functions
- Process vendor invoices employee reimbursements and purchasing card transactions in a timely and accurate manner
- Ensure proper coding approvals and documentation for all disbursements
- Prepare and process weekly check runs and electronic payments
- Reconcile AP sub-ledger to general ledger monthly
- Prepare journal entries for routine and month-end activities
- Maintain vendor records and manage vendor communication
- Prepare and file 1099s annually
- Assist in audit preparation and supporting documentation
- Manage office functions including supplies inventory purchasing postage meter bulk mail post office box accounts
- Provide backup support to the Receivables Specialist in processing tuition and fee payments and posting to the general ledger
- Provide ongoing support to the Business Office with special projects and financial reporting as assigned
- Serve the daily operations of the school with presence and support at events and functions as assigned
Education & Experience
- Bachelors Degree required
- Minimum of three (3) years of relevant experience in an office or school setting
Core Competencies
- Pleasant and professional with good interpersonal skills and ability to communicate effectively in person and in writing with internal and external stakeholders
- Demonstrated proficiency in the use of personal computers business software and spreadsheets
- Self-starter with strong attention to detail time management and organizational skills
- Willingness and capability to work beyond the normal workday
