Our Client is a South East Queensland based construction company that prides itself on quality work and strong relationships. With decades of industry experience we deliver tailored building solutions across residential commercial health education and mixed-use projects. They specialise in designing managing and constructing new builds and commercial refurbishments.
JOB SUMMARY:
We are seeking a proactive and detail-oriented Administration & Tender Support Officer who will provide essential support across project administration tender coordination and general business operations. This role plays a key part in ensuring our projects are set up accurately subcontractors are engaged throughout the tendering process and internal documentation is maintained to a high standard.
KEY RESPONSIBILITIES:
Project & Operations Administration
Setting up new jobs and uploading budgets
Uploading drawings and relevant documentation
Adding and maintaining project personnel access
Ensuring site diaries and project photos are updated regularly (weekly)
Monitoring RFI status and coordinating follow-ups (weekly)
Tendering Support
Coordinate tender documentation and communication with subcontractors
Send out drawings scopes of work and tender packages to subcontractors
Conduct regular follow-ups to confirm interest pricing progress and submission deadlines (via email)
Provide weekly status updates and ensure subcontractors have all required information to quote effectively
Administrative & Business Support
Provide general administrative support across the business as required
Prepare and submit weekly employee timesheets by gathering information directly from team members and sending them to the accountant
Assist with document control filing and maintaining accurate records
Requirements
Essential:
Strong verbal and written communication skills
Proficiency in Procore and Microsoft Office Suite (Excel Word Outlook)
Highly organized with strong attention to detail
Ability to follow processes manage multiple tasks and meet deadlines
Preferred (but not required):
Ideal Candidate Attributes
Reliable proactive and resourceful with a strong sense of accountability
Able to work independently with minimal supervision
Confident communicating with subcontractors and internal stakeholders
Process-driven and comfortable working in a fast-paced environment
