PHILIPPINE-BASED FILIPINO APPLICANTS
The NDIS/Healthcare Administrator plays a critical role in maintaining the integrity accessibility and accuracy of the organisations client and staff data. This position is responsible for managing and administering our key operational software systems including the client management system Visual Care and the medication management system Medisphere.
The role involves ensuring accurate reporting compliance tracking data governance and proactive coordination with internal teams to support high-quality care delivery for NDIS participants. A strong focus on attention to detail data administration and daily system monitoring is essential.
Key Responsibilities
- Administer user access permissions and profiles for staff within Visual Care and Medisphere systems.
- Review and verify shift notes daily ensuring accuracy and correct categorisation for reporting purposes.
- Identify and escalate irregular or concerning shift notes to Coordinators promptly.
- Monitor staff compliance in relation to shift note submissions and follow up on overdue entries.
- Assist in the preparation and maintenance of client contracts and Schedule of Supports documents using provided templates.
- Generate and maintain operational reports and dashboards from the database for internal stakeholders.
- Support Coordinators and the CEO with administrative tasks related to client and workforce data.
- Track staff credentialing training compliance and documentation accuracy within the database.
- Maintain data quality standards by conducting regular audits and updates to records.
- Provide systems troubleshooting and support to staff as required.
- Contribute to continuous improvement of data management processes and system utilisation.
Requirements
- Proven experience in database administration information systems or data management.
- Familiarity with NDIS processes documentation and reporting requirements.
- Previous experience with a client management system is highly desirable
- Demonstrated capability in producing accurate database reports and managing large data sets.
- Strong attention to detail with excellent organisational and administrative skills.
- Ability to interpret data identify discrepancies and take corrective action.
- Proficient digital and technical skills with the ability to quickly learn new software platforms.
- Excellent communication skills both written and verbal.

While this is a work-from-home position it is important to note that this is a full-time rolenot a freelance or flexible-hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability just as you would in an office environment.
This role requires:
- Discipline and commitment to set working hours (strict shift times not flexible)
- Use of time tracking software during work hours
- Active participation in team and client calls with your camera ON
- Consistent availability and responsiveness throughout your shift
- Treating this as a long-term full-time jobnot a side gig or freelance task
Payroll is processed bi-monthly.
