Schedule Commitment
The Public Works Senior Administrative Assistant works a standard 40-hour work week Monday through Friday from 8:00 a.m. to 5:00 p.m. with the ability to flex the schedule when necessary to support departmental needs. May occasionally be required to work outside of standard hours or overtime based on operational or project demands.
Pay Plan
This opportunity is non-exempt and on Pay Grade 9. The full Pay Grade Range is shown for growth and development opportunities within the grade. Salary determination is supported by budget availability and qualifications of the candidate to maintain internal equity.
Hiring Range: $23.28- $25.77- Min:$23.28
- Mid:$28.51
- Max:$33.75

Eligibility
Experience
- High School Diploma/GED
- 3 years of progressive administrative experience demonstrating increasing responsibility strong organizational skills attention to detail and the ability to manage multiple priorities effectively.
- Proven customer service experience demonstrated through regular interaction with the public vendors or internal staff providing accurate information resolving inquiries and maintaining a positive and professional demeanor in representing the organization.
- Preferred experience performing procurement and accounts payable duties including processing purchase orders reconciling invoices and supporting budget or expenditure tracking.
Knowledge/Skills/Abilities
Knowledge
- General office procedures administrative practices and records management principles.
- Microsoft Office products (Word Excel Outlook PowerPoint) and standard office equipment.
- Financial and procurement processes including accounts payable purchase orders invoice reconciliation and budget tracking in compliance with City procedures.
- Departmental operations terminology policies and procedures relevant to Public Works.
- Customer service principles and professional communication standards.
Skills
- Organizing and prioritizing multiple tasks while meeting deadlines in a fast-paced environment.
- Data entry reporting and recordkeeping with accuracy and attention to detail.
- Preparing correspondence reports and documents with proper grammar formatting and professionalism.
- Analyzing information and applying sound judgment to solve problems and ensure compliance.
- Establishing and maintaining positive working relationships with team members vendors and the public.
- Using enterprise systems such as Cartegraph MUNIS or similar software efficiently and effectively.
Abilities- Communicate clearly and courteously both verbally and in writing with a wide range of internal and external stakeholders.
- Maintain confidentiality professionalism and discretion when handling sensitive information.
- Anticipate departmental needs take initiative and provide proactive administrative support with minimal supervision.
