We are seeking a reliable and detail-oriented Administrative Assistant to support daily administrative and operational activities in our Houston office. This role plays a key part in ensuring smooth internal processes effective documentation management and professional coordination with clients vendors and internal teams.
This position is ideal for someone highly organized proactive and comfortable handling multiple administrative priorities in a fast-paced office environment.
Provide day-to-day administrative and office support to ensure efficient operations
Manage incoming calls emails and general correspondence
Coordinate schedules meetings travel arrangements and internal logistics
Organize and maintain physical and digital documentation
Prepare reports presentations and meeting minutes
Support billing collections and payment-related processes as required
Manage office supplies vendor coordination purchases and inventory
Assist visitors clients and external partners when needed
Collaborate with internal teams to support cross-functional administrative needs
Ensure compliance with U.S. administrative and documentation requirements
High School diploma required; Associates or Bachelors degree preferred
23 years of experience in administrative or office support roles
Fluent English required; Spanish preferred
Strong proficiency in MS Office (Word Excel Outlook)
Familiarity with office management tools and digital filing systems
Strong organizational communication and time-management skills
High level of discretion confidentiality and attention to detail
Proactive service-oriented mindset with strong problem-solving skills
