Job Description:

The University of Florida College of Dentistry is recruiting for the position of Manager of Health Care Administration in the Department of Clinic Administration. This position serves as the primary assistant to the Associate Dean for Clinical Affairs and Quality and the Associate Director for Clinical Affairs and Quality for coordination of undergraduate clinical care and data management for quality assurance reports.

Serves as patient advocate:

  • Identify evaluate support and solve complex issues related to patient concerns and conflicts.
  • Plan and coordinate processes to help clinic programs address patient special needs such as interpreters for hearing impaired.
  • Serve as liaison to Self-Insurance Program for potential litigation inquiries.
  • Follow up on patient inquiries related to discharge and other general concerns/requests for information.
  • Actively participate in the working groups of the Clinical Affairs and Quality Assurance Committee and other college-wide committees as necessary.
  • Participate in the development of patient information orientation and training materials for students staff and faculty.
  • Advise faculty staff and administrators regarding university policies and procedures related to patient relations.
  • Coach the department personnel on the value issues and methods of patient relations.

Supervision of Clinic Administration:

  • Supervise staff including the Patient Services Team Screening Appointment Coordinators Operations Manager Teaching Lab Specialist II Dental Assistant Supervisor Treatment Coordinators Clinic Dental Assistants.
  • Manage time and attendance schedules for the staff and provides weekly training/meeting opportunities.
  • Responsible for time approval for employees in Clinic Administration.
  • Organize emergency coverage schedule for each of the seven weeks of break.
  • Organize and prepares Student Oral Surgery coverage.
  • Serve as a link between management and employees by handling questions interpreting and administering policies/procedures and resolving work related problems.
  • Plan coordinate and prepare clinics for the Board of Dentistry Examinations.
  • Responsible for monitoring the work environment of assigned areas to ensure compliance with the University non-discrimination and workplace harassment policies by reporting alleged violations to senior management in a timely manner.

Operational Support for Clinical Leadership

  • Provide support to Associate Director for Clinic Affairs and Quality for coordination of clinic care researches circumstances concerning Patient Safety Reports/incidents.
  • Prepare discharge letters for the Associate Dean for Clinical Affairs (ADCA) to sign researches and handles Risk Management Cases.
  • Interact with supervisors of Sterilization Chart Room and Dental Maintenance and their staff on behalf of the ADCA.

Backup Coverage & Laboratory Supply Coordination

  • Coordinate back-up coverage for Lab Case Manager Leasing Manager and other administrative staff when they are absent.
  • Send and receive dental lab cases and enter the processes into a college tracking system.
  • Interact with faculty to attain course supply lists order course supplies receive course supplies and deliver course supplies to the Simulation Laboratory.

Other duties as assigned.

Expected Salary:

$85000 - $88000 annually; commensurate with education and experience

Required Qualifications:

Bachelors degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:
  • Experience working in a dental environment experience working with conflict resolution foundational knowledge of standards and regulations that apply to the practice of dentistry.
  • Experience working in an environment that supports higher education and/or clinical research.
  • Ability to use a computerized clinical patient management system.
  • Ability to lead collaborative interactions between a wide range of personalities ethnicities and socio-economic backgrounds.
