About this Position
The Executive Administrative Assistant will provide high-level administrative support to Managing Directors ensuring efficient day-to-day operations and professional representation of the team. This role requires strong communication organization and multitasking skills to manage a fast-paced workload while maintaining confidentiality and attention to detail. The ideal candidate thrives in a dynamic corporate environment and demonstrates exceptional judgment when handling sensitive information.
Job Responsibilities
Provide extensive telephone coverage for Managing Directors including answering calls taking accurate messages and managing urgent or confidential communications with discretion.
Maintain and coordinate complex calendars for meetings events and conference calls.
Arrange travel and lodging accommodations and process related expenses using firm-approved tools.
Navigate firm systems and departments to collect information respond to requests and coordinate services as needed.
Provide backup administrative support to colleagues during absences and assist with broader office needs.
Manage and update mail groups distribution lists and shared administrative resources.
Maintain a well-organized fully functioning workspace and ensure administrative efficiency.
Job Skills/Requirements
Strong written and verbal communication skills with excellent judgment and discretion.
Exceptional attention to detail organizational ability and time management.
Ability to multitask effectively in a fast-paced high-pressure environment.
Collaborative and proactive team player with a positive and professional attitude.
Proficiency in Microsoft Office applications particularly Outlook Word and Excel.
Ability to quickly learn and navigate firm systems and tools.
Nice-to-Have Skills
Experience with Concur or similar travel and expense management systems.
Familiarity with online research tools and office productivity software.
Experience providing executive-level support within financial services or professional settings.
3 years of experience in an executive administrative or office management support role.
Pay Range:
$27-$30/hour
