Get in the Game: Dive into the Role

Step up as our Executive Assistant and provide varied administrative support to the General Manager of Andina and also to Heads of Marketing and Legal Departments applying judgment and in-depth knowledge of organization and policies/procedures. You will supports agenda planning and management as well as own work. Canalize information during managers absence and use initiative and judgment to see matters requiring attention are handled properly.

In addition the in this role you will coordinate work on Sustainability and you will be the main contact with different external organizations for this purpose.

The position requiresyou to demonstrate a high level of initiative and decision making good judgment and the ability to handle confidential information in a good way. This role is recognized across the Company as an expert in the administrative field.

Your Mission: What You Will Do

  • Manage daily workflow including calendars/schedules providing administrative support to the team.
  • Manage Team internal/external communications including scheduling of leadership staff meetings and helping plan agendas based on participant feedback.
  • Manage all aspects of the GM and (2) Directors travel booking coordination and Expense reports
  • Facilitate and Maintain Departmental Expenses: Processing New Vendors Purchase Orders(POs) Processing invoices & follows up on missing payments.
  • Manage and track bill-back budget POs and invoices.
  • Support the Chairman of the You Make a Difference (Usted Hace la Diferencia) program ensuring support for communication recognition processes and event coordination associated with the program.
  • Support the Sustainability Committee including logistical coordination preparation of information and presentations organization of activities and any other assistance needed.
  • Design and update presentationsspreadsheets and documents as required.
  • Manage communities or network folders as needed for team projects initiatives and on-going networks.
  • Manage agendas confidential correspondence and documentation.
  • Coordinate internal events logistics.
  • Arrange hotel and transportation bookings and logistics for meetings with International Corporate visitors to Colombia when they visit the General Manager Marketing and Legal heads.

Must-Haves for Success: Required Qualifications

  • Bachelors degree in Business Administration Communication Public Relations or similar.
  • 5 years as executive assistant.
  • Advanced English level.
  • Proficient in Google suite of products (especially in Gmail Calendar Sheets Docs & Slides) SAP and Concur.
