Company/Client Overview:
Were looking for a highly capable tech-savvy Executive Assistant to support the Managing Director across two entities:
- An established flooring and construction business
- A holding company used for investments and strategic initiatives
Duties and Responsibilities:
This is a hands-on EA role suited to someone who thrives in small-business environments enjoys wearing multiple hats and can operate autonomously with minimal hand-holding.
You will act as a true right-hand support managing day-to-day administration improving systems and processes keeping data clean and accurate and serving as a key point of contact for the business.
Executive & Administrative Support
- Inbox and calendar management
- Email and phone call triage (including being a first point of contact for the business)
- General administrative support and document handling
- Preparing agendas materials and follow-ups for weekly sales meetings
Systems & Data Management
- Maintaining accurate records in HubSpot (CRM)
- Updating and managing data in Simpro (construction project management software)
- Ensuring overall CRM hygiene across the sales team
- Supporting accurate record-keeping and documentation
Process & Project Support
- Creating documenting and maintaining SOPs and internal processes
- Setting up and managing a central documentation hub (e.g. Notion)
- Supporting ad-hoc projects related to business improvement and operations
Finance & Bookkeeping Support (Nice to Have)
- Assisting with basic bookkeeping tasks
- Supporting month-end close activities
- Working with Xero (experience is a strong plus but not required)
Minimum Requirements:
Language requirement: Excellent English communication skills
Education: Bachelors Degree (ideally)
Experience: 5 Years proven experience as an Executive Assistant Administrative Assistant or similar role
Industry: Experience working in a small business environment
- Highly detail-oriented with excellent follow-through
- Strong problem-solving skills and ability to work independently
- Comfortable managing confidential information
Nice-to-Have
- Experience with HubSpot Simpro Xero or similar platforms
- Bookkeeping or finance support experience
- Experience documenting processes and building SOPs
- Familiarity with Notion or similar productivity tools
- Exposure to AI tools and automation
