Shawnee Health is looking to add to our Patient Intake Registration team with a bi-lingual part time position.
Essential Job Functions:
  1. Duties
  • Responsible for scheduling and documenting all patient interactions in the appropriate location within the practice management/EHR systems.
  • Promptly and professionally answers screens and processes medical service requests and telephone inquiries with strict adherence to confidentiality policies.
  • Accurately and efficiently checks patients in; checking insurance/Medicaid eligibility collecting co-pays updating all information into practice management system.
  • Collects and enters patient intake information into the appropriate area of the practice manage system with accurate information.
  • Effectively schedules return appointments according to established protocols.
  • Ability to complete SFA applications proficiently and pass testing for SFA Application processing as indicated on an annual basis.
  • Refers patients to the appropriate staff according to patient request per established protocols. i.e. triage medical records patient care coordinators case management and ACA staff.
  • Utilizes practice management system to schedule appointments according to established protocols.
  • Ability to balance money drawers/bank deposits daily in accordance with SH policies.
  • Ability to access/monitor patient recall plans notifying patients scheduling follow up visits.
  • Participates in internal education opportunities relevant to the front desk operations and customer service environment.
  • Attends/completes all assigned training through Paycor Learning and other resources as required.
  • Meets Shawnee Health and department benchmarks and or quality indicators as monitored through audits and or recordings.
  • Supports organizational changes demonstrates flexibility in providing coverage as needed during times of high volume or staff shortages.
  • Required to work a flexible schedule including some evenings weekends and early morning hours.
  • Reliable transportation on the job is mandatory
  • May be temporarily assigned or permanently re-assigned to work at other Shawnee Health Care Centers.
  • Must have an excellent understanding of all Shawnee Health policies and procedures.
Attendance
Employee must maintain regular punctual attendance consistent with Shawnee Health policies and procedures. Employee must to report to work and be on time for each scheduled shift unless scheduled absent or on approved leave in accordance with federal and/or state law. Regular employee attendance is essential to the efficient operation of Shawnee Health and is an essential component of employees job duties.
Process Improvement
Employee will promote a culture of continuous improvement by actively participating in team-based improvement events that will support SHS process improvement goals and initiatives.
Compliance with Policies/Procedures
Employee will maintain compliance with Shawnee Health
policies procedures and on-going education requirements. Employee will maintain compliance with program specific standards and regulations.
Occupational Safety and Health Administration (OSHA) Health & Safety
Employee will comply with all standard operation procedures of Shawnee Health
regarding employee health and safety including but not limited to OSHA regulations (Blood borne Pathogen Standard and Hazardous Communication Rules) Environmental Protection Act (EPA) regulations governing waste disposal and completion of unusual occurrence reports.
  1. Physical Requirements
Requires normal range of hearing and vision.
Position requires sitting for prolonged periods of time frequent walking and standing.
Must be able to perform data entry for extended periods of time.
Requires occasional lifting and carrying of up to 20 pounds.
  1. Required Working Conditions
Climate-controlled medical/dental office environment.
  1. Licenses & Certifications
Must have a valid Illinois drivers license and auto liability insurance on personal vehicles.

Employees job duties cannot be performed remotely and are required to be performed at SHS facilities. No hybrid/remote work arrangements will be considered in accordance with the Telework Policy.
Education & Experience Requirements:
  1. Mandatory
0-1 year experience in registration
1-2 years customer service
Bi-lingual (English/Spanish)
Competency Requirements:
  1. Mandatory
Must be capable of high level of discretion in handling confidential information.
Must be capable of independent problem solving with moderate supervision.
Must be competent in the use of computers.
Must have excellent communication skills both written and verbal in addition to interpersonal and organizational skills.
Must have the ability to maintain patient and employee confidentiality.

Employee must pass all pre-employment requirements as delineated below. Employees failure to pass all pre-employment requirements as determined by Shawnee Health shall result in employees immediate termination or if not yet hired withdrawal of job offer.
  • Illinois Department of Children and Family Services Child Abuse and Neglect Tracking System (CANTS) Clearance
