What Youll Do
The Office & Estimating Coordinator is the go-to person who ensures everything in the office works seamlessly from greeting guests to managing supplies and supporting teams with day-to-day needs. This role is ideal for someone who thrives on organization takes pride in creating a polished environment and enjoys helping others succeed. Youll oversee vendors manage office operations and lend vital support to the Estimating team especially on bid days where teamwork and attention to detail make all the difference. This includes:
Front Desk & Guest Experience
- Greet visitors and create a professional friendly first impression.
- Maintain a clean and organized lobby that reflects KCIs culture.
- Coordinate main lobby and seasonal decorations to keep the space inviting.
Office Operations & Vendor Coordination
- Manage day-to-day office operations to ensure efficiency and organization.
- Order and track office kitchen and fitness room supplies; maintain strong vendor relationships.
- Oversee postage machine use shipping accounts and supply levels.
- Serve as point of contact for building maintenance and vendor service needs.
Administrative & Departmental Support
- Provide general administrative support to multiple departments.
- Manage incoming/outgoing mail courier deliveries and phone calls.
- Support the estimating team with bid forms and document preparation.
Estimating/Preconstruction Support
- Assist with bid-day activities including assembling bid packages and preparing forms (bid bonds performance/payment bonds etc.).
- Send bid invitations follow up with subcontractors and suppliers and maintain bid lists.
- Keep estimating files folders and documentation organized and current.
Meeting & Event Support
- Coordinate meals refreshments and logistics for meetings and company events.
- Keep conference rooms stocked and ready for use.
- Run and unload the dishwasher daily; restock kitchen items.
- Ensure coffee is made and pots are cleaned out daily to keep the team energized.
Who You Are
- High school diploma required;associate degree in business or related field preferred.
- 5 years of administrative experience in an office environment construction estimating support a plus.
- Skilled in Microsoft Office (Word Excel Outlook)and general office technology.
- Highly organized detail-oriented and proactive.
- Strong communication and customer service skills.
- Experience managing vendors office supply orders and maintenance services.
- Capable of handling multiple priorities in a fast-paced setting.
- Able to perform light physical tasks (lifting up to 25 lbs restocking supplies etc.).
