Bookkeeper (Multi-Entity Support)

About the RoleWe are a U.S.-based business group managing four active entities:
- Two logistics companies
- One real estate business (three rental properties)
- One manufacturing business (sauna hat production)
Were seeking a highly organized and detail-oriented Bookkeeper to oversee daily financial operations across all businesses. Youll be responsible for maintaining accurate records ensuring smooth billing and reconciliation and providing financial clarity across multiple entities. For one of the logistics businesses youll also manage billing accounts receivable accounts payable and ensure all transactions align accurately within the Transportation Management System (TMS).
Key Responsibilities
- Maintain accurate financial records across multiple businesses in QuickBooks Online.
- Perform account reconciliations (bank credit card AR/AP payroll).
- Prepare and categorize financial transactions weekly across all entities.
- Collaborate with the U.S.-based accountant for month-end close and tax preparation.
- Handle customer invoicing and ensure all shipments are billed correctly in the TMS.
- Manage accounts receivable: send invoices follow up on payments and track aging reports.
- Manage accounts payable: process vendor bills schedule payments and maintain updated records.
- Ensure all TMS transactions match corresponding billing and payment records in QuickBooks.
- Track property income and expenses for the real estate business.
- Provide weekly and monthly financial summaries and cash flow reports to the owner.
Qualifications
- 35 years of bookkeeping experience (experience with U.S. clients preferred).
- Strong proficiency with QuickBooks Online and Microsoft Excel.
- Solid understanding of accounts receivable accounts payable and billing cycles.
- Experience in logistics trucking or freight brokerage is an advantage but not required for the role.
- Excellent attention to detail and ability to manage multiple entities simultaneously.
- Strong English communication skills (written and verbal).
- Self-starter who can work independently meet deadlines and maintain confidentiality.
- Reliable proactive and committed to accuracy.
