The successful candidate will support a large manufacturing organization of over 700 personnel in Boeing Test and Evaluation by: managing calendars for a director and eight senior managers; coordinating domestic and international travel and reconciling expenses report for personnel at all levels in the organization; prioritizes meetings to support the rhythm of business; tracks and maintains conference room schedules; ensures office supplies are on-hand for use by the organization; acts as a focal for ordering and collecting new computers and phones for the organization; tracks office area desk assignments; and other responsibilities to support the group.
Our teams are currently hiring for a broad range of experience levels including Associate or Experienced Level Office Administrators.
Position Responsibilities:
Performs the following tasks:
Coordinates and processes domestic and international business travel arrangements
Monitors designated business travelers logistics
Generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
Collects and compiles data to provide visibility of status for travelers review and/or signature
Creates edits and maintains electronic and written communication
Tracks and maintains information relative to department and business operations
Verbally communicates a wide variety of information to multiple audiences
Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information
Prioritizes and schedules management-level employee time and availability for efficient use of time
Tracks and maintains designated conference room schedules for availability and efficient use of resources
Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources
Orders and maintains office supplies
Provides guidance for less experienced employees
Works under limited supervision
Basic Qualifications (Required Skills/Experience):
1 years experience making domestic and/or international travel arrangements and generating expense reports
1 years experience supporting calendars travel and meetings for higher level management
1 years experience composing and editing documents in Microsoft Word Excel Outlook and PowerPoint
Preferred Qualifications (Desired Skills/Experience):
Level C: 3 or more years related work experience or an equivalent combination of education and experience
3 years experience in a role which required strong interpersonal and communication skills
