Job Summary

This is a remote position.

KEY RESPONSIBILITIES:
  • Managing onboarding: white cards licenses inductions contracts
  • Tracking job-specific induction expiry & maintaining cheat sheets/logs
  • Coordinating supplier quotes certificates (e.g. drift eliminator) and invoicing docs
  • Reviewing and scheduling car servicing insurance and rego reminders
  • Preparing job packs including SWMS and safety reporting per site
  • Supporting quote-to-job scheduling with Chontell and operations team
  • Using ChatGPT and other AI tools to speed up admin and improve templates
  • Building and maintaining master registers across induction compliance and jobs


Requirements

  • 2 years in EA/Admin/HR support ideally for a trade or construction business
  • Confidence to follow up with staff techs and suppliers professionally
  • High attention to detail and strong communication
  • Tech-savvy comfortable using Google Docs spreadsheets email checklists
  • Curious mindset someone who can streamline tasks and support a fast-growing team
  • 2 years in admin EA HR support or project coordination
  • Experience in construction HVAC trades or field service businesses strongly preferred
  • Confident using Microsoft Office
  • Familiar with Xero CRM or other tech tools for timesheets and project management
