Job Summary

This is a remote position.

Schedule: MonFri 8:00 AM5:00 PM includes 1-hour unpaid break Alberta Canada (Mountain Time)
Paid hours per week: 40 Hours


Responsibilities:

  • Take incoming calls and handle all phone communication with families staff and healthcare providers
  • Confirm and coordinate scheduling between patients nurses and internal staff
  • Review and process insurance documents and patient paperwork
  • Update and maintain patient records in internal systems
  • Handle urgent calls from families requesting immediate nursing support
  • Perform administrative and back-end tasks to support daily operations
  • Manage communication between different departments (nursing therapy administration)
  • Return calls and send SMS communications as needed
  • Support busy periods when demand for services increases

Requirements

  • Healthcare background and customer service experience required
  • Strong English communication skills both written and verbal
  • Ability to speak Tagalog fluently (due to Filipino staff and client base)
  • HIPAA compliance knowledge or willingness to learn
  • Experience with patient records and healthcare documentation
  • Ability to work Canadian time zones (night shift in the Philippines)
  • Comfortable with technology and learning new systems
  • Professional phone manner and empathetic communication style
  • Attention to detail for government-required documentation

Scope:

  • Full-time (40 hours/week) or part-time (20 hours/week minimum) options available
  • Remote work from the Philippines with Canadian time zone alignment
  • Integration with existing email systems CRM and internal healthcare platforms
  • Phone system setup with a virtual dialer for a local Canadian presence
  • Support for an organization serving 100 children across Edmonton and Calgary
  • Potential for role expansion and additional virtual assistant hiring
  • Month-to-month employment arrangement with a 90-day probation period
  • Access to all necessary hardware software and internet connectivity is provided
