Job Summary

Role Summary

We are seeking a highly organized and proactive Business & Marketing Assistant to provide essential administrative communication and project support to our leadership and digital marketing team. This role is crucial for ensuring the smooth daily function of the business enabling our specialized teams to focus on strategy and execution. You will serve as the primary organizer and communication liaison for various administrative and internal tasks helping maintain structure efficiency and coordination across departments.


Key Responsibilities

I. Administrative & Operational Support

  • Executive Support: Provide comprehensive administrative assistance to leadership including managing complex schedules and coordinating across multiple time zones (e.g. Australian time).

  • Workflow Management: Maintain organized digital workspaces manage inboxes and implement systems for task tracking prioritization and project follow-up.

  • Documentation: Prepare meeting agendas take detailed meeting notes and ensure accurate documentation and filing of essential business records and client files.

  • Ad-Hoc Support: Deliver flexible administrative and logistical support to the digital marketing team and leadership as needed.

II. Client & Internal Communication

  • Client Liaison: Support client communication by managing routine correspondence and ensuring timely professional follow-up.

  • Status Updates: Draft and circulate project status updates reports and performance summaries for both internal and client use.

  • Team Coordination: Facilitate effective communication between specialized marketing roles (e.g. Reddit Strategist Content Lead etc.) and leadership to ensure alignment on priorities and deadlines.

III. Basic Digital Marketing Assistance

  • Community Monitoring: Conduct light content moderation and community management on social media platforms such as LinkedIn and Facebook.

  • Engagement: Monitor brand mentions and comments providing timely and on-brand responses or flagging relevant items for team review.

  • Account Maintenance: Assist in managing digital marketing accounts including password organization access permissions and profile updates.



Requirements

Qualifications & Skills

  • Bachelors degree in Business Administration Marketing Communications or related field (preferred but not required).

  • Proven experience in administrative or coordination roles ideally supporting a marketing or digital team.

  • Strong organizational and multitasking skills with exceptional attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency with productivity tools (e.g. Google Workspace Microsoft Office Slack Asana or similar project management platforms).

  • Basic understanding of digital marketing and social media platforms.

  • Ability to work independently and handle multiple priorities in a fast-paced environment.

  • Comfortable working across time zones and coordinating with international teams.
