This is a remote position.
This role provides essential customer service administrative and operational support ensuring smooth communication with customers and internal teams while maintaining accurate records across multiple systems. The position requires strong attention to detail professionalism and the ability to manage sensitive data with discretion.
Respond to customer inquiries via email and phone averaging approximately three inbound calls per day
Handle customer complaints and resolve order-related issues efficiently and professionally
Reconcile and verify data between UPS shipping systems and Shopify to ensure order accuracy
Maintain and update HubSpot CRM including contacts deals tasks and activity logs
Review leadership emails and assign follow-up actions to appropriate internal teams
Provide administrative support including scheduling travel coordination onboarding tasks and general office assistance
Potentially support inbound shipping and customs-related inquiries pending final confirmation
Microsoft Outlook (primary daily communication and scheduling tool)
HubSpot CRM
Shopify
UPS shipping platforms
Aircall VoIP system
Pre-built HubSpot email templates for consistent and professional customer communication
Minimum of three (3) years of experience in customer service administrative support or a related role
Strong proficiency in Microsoft Outlook and comfort working within CRM-driven workflows
Proven ability to handle confidential financial and customer data securely and responsibly
Clear professional communication skills with confidence engaging individuals with diverse global accents
Strong organizational skills attention to detail and follow-through
Australian Time 20 hours per week
