DSHS BHHA - Administrative Assistant 5

The Department of Social and Health Services (DSHS) is seeking a detail-oriented and dependable Administrative Assistant 5 to join the Office of Forensic Mental Health Services (OFMHS) in Olympia WA.


In this role you will provide confidential administrative support to the Director of the Office of Forensic Mental Health Services (OFMHS) including managing correspondence constituent inquiries calendars travel mail and meeting logistics. Acting with delegated authority youll make decisions and take action on behalf of the Director across operational and administrative matters such as personnel coordination office space assistance equipment and other goods and services purchases and handling sensitive legal and medical information.

Youll establish procedures apply policies and lead planning to ensure program standards and deadlines are met. This includes developing timelines optimizing workflows and solving complex problems to maximize efficiency. Youll coordinate statewide trainings and conferences manage purchasing for OFMHS staff and oversee recruitment processes and required data entry and record keeping. This position requires high-level judgment professionalism and independence.


Some of what youll do:

  • Provides confidential executive-level support to the OFMHS Director with delegated authority over specified administrative and operational matters.
  • Coordinates with staff development and operations personnel issues recruitment onboarding and exit procedures across all OFMHS worksites.
  • Manages the Directors schedule prioritizing meetings and events to ensure strategic engagement with stakeholders.
  • Oversees constituent communications ensuring timely accurate responses to inquiries from government offices and the public.
  • Composes and edits executive correspondence prepares reports and exercises signature authority on behalf of the Director.
  • Coordinates and leads internal meetings related to improvements across the office including administrative resources and equity diversity access and inclusion.
  • Tracks assignments incident reports and legislative deliverables to ensure timely completion and compliance.
  • Manages purchasing inventory and billing through TRACKS ensuring cost-effective use of public funds.
  • Coordinates meetings conferences and travel logistics for the Director and delegates including contracts and facility arrangements.
  • Maintains and updates OFMHS intranet and SharePoint content serving as the site owner and liaison for statewide communications.

We are looking for professionals who demonstrate:
  • Sound judgment and discretion in managing confidential administrative personnel and legal matters on behalf of executive leadership.
  • Strong organizational skills to coordinate complex schedules meetings travel and statewide operational logistics.
  • Attention to detail in preparing reviewing and tracking reports correspondence contracts and constituent communications.
  • Leadership and mentoring abilities to supervise staff delegate tasks and support professional development.
  • Initiative and independence in overseeing purchasing recruitment onboarding and cross-divisional assignments that impact statewide service delivery.

Who should apply
High school diploma or equivalent.
AND
Five years of clerical office or administrative experience.

OR

A bachelors degree in business administration public administration or closely related field substitutes for four years of related experience;
AND
One year as an Administrative Assistant 4.

OR

Two years as an Administrative Assistant 3.

OR

Equivalent education/experience.
