Position Summary
Under minimal supervision performs a broad range of administrative tasks for Community Executive. Relieves the executive of minor administrative details. Exercises frequent independent judgment within agreed upon limits. Responsible for scheduling regular and special meetings preparing agendas and managing minutes. Assists others with clerical functions as directed. Responsible for managing the community concierge team.
Essential Duties
- Responsible for managing the concierge team in the community to include recruiting hiring orienting onboarding scheduling performance management and training team members.
- Prepares correspondence arranges appointments. Prepares routine and special reports and presentations
- Screens directs or responds to telephone inquiries.
- Communicates information to appropriate parties in a timely fashion
- Assists in reviewing databases understanding the information and regularly sharing that information with the Executive. Databases may include but are not limited to Kronos Health MedEx Risk Watch Care Watch.
- Regularly strategizes with the Executive Director regarding timing and content of meetings. Helps develop agendas prepares and distributes minutes and communicates action plans to appropriate parties as necessary.
- Establishes and maintains filing systems.
- May involve project work.
- Performs basic to advanced computer applications including but not limited to PowerPoint excel and word.
- Establishes and develops effective relationships with residents families independent contractors volunteers community groups and trade organizations.
- Responsible for supervision of concierge team and ensures staff requirements are met.
- Oversees a budget for the concierge team.
- Creates and develops hospitality-based programs to enhance services available to residents.
Responsible for encouraging participating and integrating Masterpiece Living and Eden Alternative initiatives by supporting successful aging and person-centered programs and culture.
- Other duties as assigned.
Qualifications :
Basic Qualifications & Experience
- High school diploma; advanced education preferred.
- Prefer working knowledge of housing and service options for senior adults.
- Requires working knowledge of multi-extension multi-line phones.
- Must possess excellent communication skills verbal and written.
- Strong clerical skills to include computer word processing spreadsheet and cash management.
- Prefer a minimum of three years of experience in a business office environment.
- Demonstrates proficiency in Microsoft Office or applicable software required. Experience with databases also a must.
- Must possess excellent customer service skills.
- Must have a proven record of accomplishment of meeting multiple deadlines while managing multiple projects.
- Demonstrated proficiency in the use of relevant technology applicable to the position.
Working Conditions / Physical Requirements
- Light physical effort required by handling objects up to 20 pounds occasionally and/or up to 10 pounds frequently.
- Sits stands bends and moves intermittently during working hours.
- Is subject to frequent interruptions.
- Interacts with residents family members visitors frequently.
