Job Description

This is an exciting opportunity to join a thriving event rental business as their Admin and Accounting Assistant playing a crucial role in supporting their continued rapid expansion. Youll be the organizational backbone that helps this dynamic team manage their growing client base and operational demands. Working directly with the business owners youll handle essential administrative functions while learning specialized rental management software giving you valuable experience in both general business operations and industry-specific systems. This role offers excellent growth potential as the company continues scaling and plans to add more team members.


Responsibilities:
Administrative Support
  • Manage and organize Google Calendar scheduling for client meetings and internal coordination.
  • Handle inbox management and communication flow using Gmail and other productivity tools.
  • Set up and confirm client calls meetings and rental consultations.
  • Learn and maintain proficiency in the companys specialized rental management platform.
  • Assist customers with inquiries availability checks and booking modifications.
  • Provide excellent customer service and support for active rental contracts.
  • Coordinate day-to-day administrative tasks to ensure smooth business operations.

Accounting & Bookkeeping Support

  • Record and categorize financial transactions in QuickBooks.
  • Assist with accounts payable and receivable processing invoices payments and receipts.
  • Help prepare monthly financial reports and summaries for management review.
  • Perform bank and credit card reconciliations to ensure accurate financial tracking.
  • Support basic budgeting and expense tracking for events and operations.
  • Maintain organized digital records of financial documents and client contracts.


Requirements

  • Proven experience in administrative and basic accounting or bookkeeping roles.
  • Proficiency in QuickBooks and general understanding of accounting principles.
  • Strong organizational and communication skills with great attention to detail.
  • Ability to manage multiple priorities in a fast-paced growth-oriented environment.
  • Quick learner with the ability to adapt to new tools and systems.
  • Customer service or client-facing experience preferred.
  • Self-motivated proactive and able to work independently from home.
