Position Summary

The Project Manager within the Program Management Office (PMO) is responsible for planning coordinating and executing cross-functional projects aligned with organizational goals. This role ensures projects are delivered on time within scope and on budget while adhering to PMO standards and methodologies. The Project Manager will also play a pivotal role in internal communications process development knowledge management and the administration of key tools and platforms to drive organizational success.

Key Responsibilities

Project Planning & Execution:

  • Define project charter scope objectives and deliverables in collaboration with stakeholders.
  • Develop comprehensive project plans schedules and budgets.
  • Coordinate resources assign tasks and track project progress to ensure successful delivery.

Stakeholder Management:

  • Serve as the primary point of contact for project stakeholders ensuring clear communication.
  • Facilitate regular project status meetings reports dashboards and updates to stakeholders.
  • Manage expectations and resolve conflicts effectively.

Risk & Issue Management:

  • Identify potential risks and develop mitigation strategies.
  • Monitor and address project issues promptly to minimize impact on deliverables.

Communication Management:

  • Oversee the curation and distribution of the PS Departmental Newsletter ensuring timely and engaging updates to stakeholders.
  • Manage PMO Announcements ensuring consistent clear and impactful communication of key updates initiatives and milestones across the organization.

Log/Board Management:

  • Assist as an administrator for boards as they pertain to PMO ensuring accurate and timely updates.
  • Manage the PMO Backlog and Action Log tracking open tasks status updates and deadlines.
  • Oversee the Services Backlog and Action Log ensuring team accountability for assigned actions and project progress.
  • Continuously review and optimize board structures and workflows to improve efficiency.
  • Provide training and support to team members on the use of as needed.

Process Development & Knowledge Base Curation:

  • Provide support for the development and improvement of Professional Services (PS) and PMO processes ensuring efficiency and alignment with organizational objectives.
  • Curate and maintain a comprehensive Knowledge Base ensuring accessibility and usability for team members.
  • Collaborate with stakeholders to document and standardize best practices and workflows.

SharePoint Administration:

  • Assist in maintaining and updating Professional Services (PS) and PMO-related SharePoint Sites including but not limited to The Source ensuring content is current relevant and well-organized.
  • Serve as a resource for SharePoint-related inquiries and training.
  • Assist in the improvement of the structure design and usability of SharePoint platforms to meet organizational needs.

Adherence to PMO Standards:

  • Ensure projects align with PMO governance frameworks methodologies and best practices.
  • Maintain accurate and comprehensive project documentation.
  • Continuously work to improve PMO processes and tools based on lessons learned.

Collaboration & Leadership:

  • Lead cross-functional teams to achieve project goals fostering a collaborative environment.
  • Mentor team members on project management principles and tools.
  • Promote a culture of accountability and excellence within the organization.

Qualifications

Education & Experience:

  • Bachelors degree in Business Administration Project Management or a related field (preferred).
  • 5 years of experience in project management preferably within a PMO or matrixed organization.
  • Proven track record of delivering complex projects on time within budget and to quality standards.

Certifications (Preferred):

  • Project Management Professional (PMP)
  • Certified ScrumMaster (CSM) or Agile certifications
  • Prince2
  • Lean Six Sigma certification

Technical Skills:

  • Proficiency with project management tools such as MS Project Jira or .
  • Experience with SharePoint site administration and content management.
  • Advanced knowledge of MS Office Suite (Word Excel PowerPoint).
  • Familiarity with Agile Waterfall and hybrid project management methodologies.
