Position Description
Position Title: Office Coordinator
Job Type: Part- Time
Job Status: Non- Exempt
Reports to: Pastor
Position Summary: The Parish Office Coordinator provides organizational and administrative support to the pastor and parish staff at both St. Anthony and Our Lady of Mercy. The Coordinator ensures that parish records compliance requirements and vendor files are accurate and up to date while assisting with day-to-day office tasks. This role works in close collaboration with the Business Manager and Secretary and serves as a resource for maintaining smooth parish operations.
Key Responsibilities
- Maintain parish census and sacramental records in ParishSoft database.
- Oversee diocesan Safe Environment requirements; track clearances coordinate training prepare annual compliance reports.
- Organize and update parish vendor files contracts and service agreements.
- Assist in managing office communication systems calendars and scheduling.
- Provide support for office volunteers (especially at St. Anthony)
- Collaborate with Business Manager on financial documentation and with Secretary on parish correspondence as needed.
- Maintain confidentiality with all parish matters.
- Other duties as assigned by Pastor.

Educational Requirements
- Minimum High School Diploma. Associate degree or advanced education in related field preferred
- At least 2 years experience as an Office Coordinator or Administrative Assistant
Qualifications
- Strong organizational and administrative skills.
- Must have a valid drivers license.
- Proficiency in database entry and Microsoft Office/Google Workspace (experience with ParishSoft is a plus)
- Ability to work collaboratively as part of a team.
- Strong attention to detail
- Proficiency in the use of all general business and office equipment.
- Commitment to the mission of the Catholic Church.

Physical Demands: The employee is regularly required to stand walk sit talk and hear both in person and by telephone; frequent use of equipment that includes repetitive motions and computer eye fatigue. Occasionally required to reach and lift with hands and arms; stoop kneel crouch or crawl lift and/or move up to 10 pounds. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data determining the accuracy and thoroughness of work and observing general surroundings and activities. This position will require the employee to drive between both parishes.
Working Conditions: Normal office environment. Parish working hours around Monday through Friday 8:30 AM 4:30 PM. This position is part-time; Monday- Friday; 15-20 hours a week shared between both parishes. Occasional evening or weekend work may be required for compliance deadlines or for parish events.
